Job summary

IPOS International seeks a practical Senior Executive, Procurement to support end-to-end procurement activities and participate in transformation initiatives. You will gather requirements, publish quotations, manage vendor clarifications and ensure documentation accuracy.

The role emphasizes collaboration with internal stakeholders and responsible use of AI tools to improve service delivery. The position also covers system enhancements, training materials, and user support for the future

Qualifications

• Diploma or Degree in Business, Procurement, Supply Chain, Finance, Law, Information Systems or a related field.
• Fresh graduates and applicants with experience in procurement, sourcing, contract administration or related operations are welcome to apply.
• An interest in procurement and willingness to learn quotation and tender processes, governance requirements and contract documentation.
• Exposure to the public sector, a government-linked organisation or other regulated environment would be an advantage.
• Working knowledge of Microsoft Office, especially Excel and PowerPoint. Willing to learn new systems and use approved AI tools responsibly.
• Familiarity with system implementation, testing or user training is useful but not required.
• Good analytical and problem-solving skills with attention to detail. Able to manage priorities and meet deadlines.
• Clear written and verbal communication skills. Able to work collaboratively, take ownership of assigned tasks and follow through on actions.
• High integrity and good judgement. Able to protect confidential information and follow organisational policies.

Responsibilities

• Manage end-to-end procurement activities for assigned cases, with guidance where needed.
• Build effective working relationships with internal stakeholders and suppliers.
• Explain standard procurement procedures and ensure compliance.
• Check procurement submissions and records for completeness, accuracy and compliance.
• Track contract variations, extensions, expiry dates, supplier records and contract closeout.
• Liaise with business units on these matters.
• Assist with procurement reports, dashboards and basic budget and spend analysis for management reporting.
• Use approved AI tools and digital technologies responsibly to improve efficiency and generate insights.
• Prepare user guides and training materials; assist with training and system launch activities.
• Respond to initial user queries and collect feedback to encourage system adoption.
