We are seeking a practical and adaptable Senior Executive, Procurement to join our Procurement Unit. Reporting to the Head, Procurement, the role supports procurement activities and works closely with internal stakeholders to meet business needs, while ensuring that procurement records are complete and procurement requirements are adhered to.
Beyond day-to-day procurement operations, the role contributes to Procurement Systems & Transformation initiatives. This includes requirements gathering, process improvements, system implementation and user support for the future procurement platform. The position suits someone who is willing to learn and interested in using technology to improve service delivery.
Manage end-to-end procurement activities for assigned cases, with guidance where needed. This includes market research, publishing quotations or tenders, managing vendor clarifications and preparing the required evaluation, approval, award and contract documents.
Build effective working relationships with internal stakeholders and suppliers. Work with business units to clarify requirements and timelines. Explain standard procurement procedures and
Check procurement submissions and records for completeness, accuracy and compliance. This includes the Estimated Procurement Value (EPV), Approved Procurement Value (APV), price reasonableness, conflict of interest declarations and required approvals. Maintain a complete audit trail for each case.
Track contract variations, extensions, expiry dates, supplier records and contract closeout. Liaise with business units on these matters.
Assist with procurement reports, dashboards and basic budget and spend analysis for management reporting.
Use approved AI tools and digital technologies responsibly to improve efficiency and generate insights. Use them to support decisions and improve procurement processes. Protect confidential information and comply with organisational policies and data security requirements.
Participate in procurement transformation initiatives for the procurement platform. These include process redesign, system enhancements, change management and continuous improvement.
Coordinate meetings and gather input from business units, Finance, IT and the appointed vendor. Maintain a simple tracker for timelines, actions and issues. Escalate delays or concerns when needed.
Support data checks and user acceptance testing. Record defects and follow up on agreed fixes.
Prepare user guides and training materials. Assist with training and system launch activities. Respond to initial user queries and collect feedback to encourage system adoption.
