Role Overview
We are seeking a dependable, organised and proactive Personal Assistant to support a financial consultant in managing daily appointments, client servicing matters and administrative responsibilities.
This role is suitable for someone who enjoys keeping things organised, communicating professionally with clients and ensuring that important follow-ups are completed accurately and on time. You will work closely with the consultant and play an important part in creating a smooth and professional client experience.
Key Responsibilities
Calendar and Appointment Management
- Manage the consultant's calendar and coordinate client appointments.
- Confirm appointments and send timely reminders to clients.
- Arrange face-to-face meetings, Zoom sessions and other business engagements.
- Assist with rescheduling and follow up on missed or postponed appointments.
- Prepare the consultant's daily and weekly schedules.
Client Servicing Support
- Respond to general client enquiries professionally and promptly.
- Assist clients with appointment arrangements, form completion and administrative requests.
- Follow up on outstanding documents, signatures and servicing requirements.
- Maintain a record of client requests and monitor them until completion.
- Coordinate with the relevant internal departments to check on the status of submissions and service requests.
- Send approved greetings, service updates and event invitations to clients.
Administrative Support
- Prepare and organise forms, documents, presentation materials and meeting files.
- Assist with data entry, document submission, filing and record maintenance.
- Update client information and activity records accurately.
- Track important deadlines, renewals, reviews and follow-up actions.
- Prepare simple reports, contact lists and activity summaries.
- Maintain an orderly digital filing system.
Business and Marketing Support
- Assist with the coordination of client events, seminars and appreciation activities.
- Manage guest lists, registrations, confirmations and post-event follow-ups.
- Support approved social-media and client-engagement activities.
- Help prepare simple marketing materials using tools such as Canva.
- Assist with lead administration, including recording enquiries and arranging initial appointments.
- Ensure that only approved materials and communications are used.
Important Scope of Role
This is an administrative and business-support position. The Personal Assistant will not provide financial advice, recommend financial products, conduct regulated sales activities or represent themselves as a licensed financial consultant. All product explanations, financial recommendations and regulated advisory activities must be handled by the appointed financial consultant.
Requirements
- Minimum GCE O-Level, N-Level, Diploma or equivalent qualification.
- Previous experience in administration, customer service, executive assistance or financial‑services support is an advantage.
- Comfortable using Microsoft Office, Google Workspace, Zoom and messaging applications.
- Familiarity with Canva, spreadsheets or customer‑management systems would be beneficial.
- Good written and spoken English.
- Able to communicate professionally through telephone, WhatsApp and email.
- Singapore financial‑services experience is helpful but not compulsory.

- Occasional support outside normal working hours may be required for pre-arranged client appointments or events. Time-off or compensation arrangements will be communicated in advance.
