Job summary

Job description
Key Responsibilities
  • Oversee day-to-day office operations and ensure smooth coordination between management, site teams, and support functions.
  • Manage correspondence, documentation, and office supplies to maintain an efficient working environment.
  • Maintain company licenses, ISO records, and all compliance-related documentation.
  • Support the preparation and submission of tender, project, and contract documents.
  • Handle petty cash, staff expense claims, and coordinate vendor invoicing and payments.
  • Liaise closely with project managers, site personnel, and subcontractors to facilitate operational needs.
  • Monitor site attendance, manpower allocation, and compile project progress reports.
  • Assist the HR department with onboarding, leave administration, and safety documentation.
  • Prepare management reports and provide administrative support to the Directors.
  • Maintain and update ERP/CRM systems (e.g., HubSpot, SAP) while ensuring proper digital filing and document control.
Requirements
  • Bachelor’s degree in Business Administration, Construction Management, or a related discipline.
  • 5–8 years of experience as an Office Manager, Administrative Manager, or in a similar capacity, preferably within the construction or design-build industry.
  • Strong knowledge of ISO documentation, tender processes, and regulatory compliance.
  • Proficient in Microsoft Office; experience with ERP/CRM platforms is an added advantage.
  • Exceptional organizational, coordination, and multitasking abilities.
