Qualifications

  • 3+ years in ocean freight operations or logistics.
  • Degree in Logistics, Supply Chain, or Business preferred.
  • Strong knowledge of import/export, cross-trade, and customs processes.

Responsibilities

  • End-to-End Shipment Management: coordinate ocean movements from booking to delivery and monitor milestones.
  • Customs & Documentation: prepare Bills of Lading, Delivery Orders, and ensure timely clearance with brokers.
  • Customer Service Excellence: act as the primary operational contact for assigned accounts and resolve issues promptly.
  • Pricing & Quoting: source competitive rates and prepare accurate ocean freight quotes.
  • Billing & Invoicing: generate timely invoices and resolve discrepancies with finance.
  • Reporting & Data Accuracy: maintain records, monitor KPIs, and provide shipment reports.

Job description

The Ocean Operations Coordinator is responsible for managing end-to-end ocean freight operations, including import, export, and cross-trade shipments, customs clearance coordination, transportation activities, customer service, billing support, and operational compliance. The role plays a critical part in ensuring timely shipment execution, maintaining customer satisfaction, supporting revenue generation, and ensuring adherence to regulatory requirements and company policies. The Ocean Operations Coordinator works closely with customers, shipping lines, NVOCCs, customs brokers, transportation providers, overseas offices, and internal stakeholders to deliver efficient and reliable ocean freight solutions.


Duties and Responsibilities:

In this role, you will manage the end-to-end lifecycle of ocean freight shipments, ensuring our customers receive top-tier service, accurate quotes, and timely deliveries.



  • End-to-End Shipment Management: Coordinate ocean freight movements (import, export, and cross-trade) from booking to final delivery. You will monitor milestones, troubleshoot delays, and keep cargo moving smoothly.


  • Customs & Documentation: Prepare and validate vital shipping documents (Bills of Lading, Delivery Orders) and collaborate with customs brokers to ensure strict regulatory compliance and timely clearance.


  • Customer Service Excellence: Act as the primary operational contact for your assigned accounts. Keep customers informed on shipment statuses, resolve issues swiftly, and build strong relationships with partners and vendors.


  • Pricing & Quoting: Source competitive rates from carriers and overseas offices to prepare accurate ocean freight and transportation quotes for customers.


  • Billing & Invoicing: Generate timely, accurate invoices for all shipments and collaborate with the finance team to resolve any discrepancies.


  • Reporting & Data Accuracy: Maintain precise operational records in our systems, monitor service KPIs, and provide regular shipment reports to stakeholders.



What We're Looking For


  • Experience: 3+ years in ocean freight operations, freight forwarding, or a similar logistics environment.


  • Education: A degree in Logistics, Supply Chain, Business, or a related field is preferred.


  • Industry Knowledge: A solid grasp of end-to-end ocean freight processes (Import, Export, Cross-Trade), shipping documentation, customs clearance, and international trade regulations.


  • Tech Skills: Proficiency in MS Office and standard logistics management systems.


  • Problem Solver: Highly organized with the ability to juggle multiple shipments, prioritize competing tasks, and resolve operational hiccups in a fast-paced environment.


  • Great Communicator: Excellent interpersonal skills to effectively manage stakeholders and keep customers happy.


  • Detail-Oriented Team Player: A sharp eye for accuracy and compliance, with the ability to work seamlessly both independently and as part of a team.



Physical Requirements:


  • Prolonged periods of sitting at a desk and working on a computer.


  • Ability to participate in virtual and in-person meetings with customers, vendors, carriers, and internal stakeholders.
