Job summary

The National University of Singapore is seeking a Facilities Coordinator to provide maintenance and logistical support for NUS Business School. The role covers building maintenance coordination, safety, inventory management, and project support on-site.

Reporting to the Team Lead (Biz Ops), you will oversee service requests, optimise space setups, manage inspections, and coordinate with vendors and central facilities teams to ensure high standards of operations and safety.

Qualifications

  • Bachelor of Engineering in Mechanical, Electrical, Civil & Structural, Facilities Management or equivalent.
  • At least 5 years of facilities management experience.
  • Hands-on and proactive approach; familiarity with MS Office and MS Project is preferred; Fire Safety Manager qualification is an advantage.

Responsibilities

  • Oversee and fulfil facilities service requests (cleaning, repairs, room setups) using our workorder app and improve the app's capabilities.
  • Optimise classroom and event space setups, including furniture configuration and AV readiness checks.
  • Strengthen routine inspection regimes to anticipate maintenance needs and coordinate with vendors and central facilities teams.
  • Safeguard accurate inventory records and manage stock checks and asset tracking.
  • Champion safety and compliance tasks and oversee incident reporting and housekeeping standards.
  • Manage security, administer access control, and ensure policy alignment.
  • Coordinate contractors and stakeholders to ensure timely completion of works.
  • Maintain integrity and accuracy of records for work orders, inspections, and vendor activities.
  • Drive continuous improvements in processes and service levels.

Job Description

Reporting directly to the Team Lead (Biz Ops), this position will be responsible for providing facilities maintenance and logistical support in NUS Business School, including effective and predictive building maintenance coordination work, fire and work safety, logistical support, renovation project planning and management, etc.

Duties and responsibilities include:

  1. Oversee and fulfil facilities service requests (cleaning, repairs, room setups) using our workorder app and improve the app's operational capabilities.
  2. Optimise classroom and event space setups, including spatial furniture configuration and AV readiness checks to achieve high-fidelity performance.
  3. Strengthen routine inspection regimes to anticipate maintenance needs, prevent safety issues, and initiate follow-through with vendors and central facilities teams.
  4. Safeguard accurate inventory records and enforce inventory standards (stock checks, reordering, tagging/asset tracking, storage upkeep).
  5. Champion safety and compliance tasks, oversee incident reporting, and elevate housekeeping standards.
  6. Manage security, administer key/access card issuance and tracking to ensure full alignment with policy.
  7. Coordinate contractors and engage stakeholders, ensure clarity of updates and timely completion of works.
  8. Ensure integrity and accuracy of records for work orders, inspections, and vendor activities
  9. Drive continuous enhancements in processes and service levels.
Qualifications and Experience

Education: Degree of Bachelor of Engineering in Mechanical, Electrical, Civil & Structural, Facilities Management or equivalent.

Experience: At least 5 years of relevant practical experience in facilities management with minor A&A/Cyclical/Facilities Renewal project management of building projects (preferably institutional and residential buildings). Relevant experience in the maintenance of M&E services will be an added advantage.

Skills: Strong problem-solving and coordination abilities, excellent written and communication skills, and proficiency in Microsoft Office, with familiarity in MS Project preferred. A hands-on and proactive approach is essential, and having a Certified Fire Safety Manager qualification would be an advantage.

Strengths: Reliable, organized, and detail-oriented, with good communication skills and a strong service-oriented mindset.

Physical Requirements: Able to walk across campus sites, set up rooms and furniture, and shift movable items into position for use.

Availability: This is an on-site role that may occasionally require early mornings, evenings, or weekend work during peak periods.
