Job summary

National University of Singapore (NUS) invites applications for an on-site Facilities Coordinator at NUS Business School in Singapore. The role supports maintenance, safety, and logistics across campus, reporting to the Biz Ops Team Lead.

You will oversee service requests, optimize room setups and AV readiness, strengthen routine inspections, manage inventory, and coordinate with vendors to ensure timely, high-quality work.

Qualifications

  • Bachelor-level engineering or facilities-management degree required.
  • Minimum 5 years of facilities management experience; minor A&A/Cyclical/Facilities Renewal project experience preferred.
  • Strong problem-solving and coordination skills; excellent written and verbal communication.

Responsibilities

  • Oversee and fulfil facilities service requests (cleaning, repairs, room setups) using the workorder app and improve its operational capabilities.
  • Optimise classroom and event space setups, including spatial furniture configuration and AV readiness checks.
  • Strengthen routine inspection regimes to anticipate maintenance needs, prevent safety issues, and coordinate with vendors and central facilities teams.
  • Safeguard accurate inventory records and enforce inventory standards (stock checks, reordering, tagging/asset tracking).
  • Champion safety and compliance tasks, oversee incident reporting, and elevate housekeeping standards.
  • Manage security, administer key/access card issuance and tracking to ensure policy alignment.
  • Coordinate contractors and engage stakeholders, ensure clear updates and timely completion of works.
  • Ensure integrity and accuracy of records for work orders, inspections, and vendor activities.
  • Drive continuous enhancements in processes and service levels.

Job Description

Reporting directly to the Team Lead (Biz Ops), this position will be responsible for providing facilities maintenance and logistical support in NUS Business School, including effective and predictive building maintenance coordination work, fire and work safety, logistical support, renovation project planning and management, etc.

Duties and responsibilities include:

  • Oversee and fulfil facilities service requests (cleaning, repairs, room setups) using our workorder app and improve the app’s operational capabilities.
  • Optimise classroom and event space setups, including spatial furniture configuration and AV readiness checks to achieve high-fidelity performance.
  • Strengthen routine inspection regimes to anticipate maintenance needs, prevent safety issues, and initiate follow-through with vendors and central facilities teams.
  • Safeguard accurate inventory records and enforce inventory standards (stock checks, reordering, tagging/asset tracking, storage upkeep).
  • Champion safety and compliance tasks, oversee incident reporting, and elevate housekeeping standards.
  • Manage security, administer key/access card issuance and tracking to ensure full alignment with policy.
  • Coordinate contractors and engage stakeholders, ensure clarity of updates and timely completion of works.
  • Ensure integrity and accuracy of records for work orders, inspections, and vendor activities
  • Drive continuous enhancements in processes and service levels.
Qualifications and Experience

Education: Degree of Bachelor of Engineering in Mechanical, Electrical, Civil & Structural, Facilities Management or equivalent.

Experience: At least 5 years of relevant practical experience in facilities management with minor A&A/Cyclical/Facilities Renewal project management of building projects (preferably institutional and residential buildings). Relevant experience in the maintenance of M&E services will be an added advantage.

Skills: Strong problem-solving and coordination abilities, excellent written and communication skills, and proficiency in Microsoft Office, with familiarity in MS Project preferred. A hands‑on and proactive approach is essential, and having a Certified Fire Safety Manager qualification would be an advantage.

Strengths: Reliable, organized, and detail‑oriented, with good communication skills and a strong service‑oriented mindset.

Physical Requirements: Able to walk across campus sites, set up rooms and furniture, and shift movable items into position for use.

Availability: This is an on‑site role that may occasionally require early mornings, evenings, or weekend work during peak periods.
