Job description
What the role is:

Join our dynamic Corporate Services Division and play a pivotal role in modernising healthcare professional board operations across Singapore. As part of our forward‑thinking team, you will be supporting 7 healthcare Professional Boards and 4 Specialists and Accreditation Boards while leading exciting digital transformation and sustainability initiatives and developing expertise in contemporary administrative practices. You will assist the Head (Corporate Services) in general office facilities management, procurement, budget projections, records and digitisation matters.

What you will be working on:
  • Oversee general office administration, management of office facilities/contracts/tenancy agreements, coordinate office renovations and space planning initiatives.
  • Manage procurement and provide procurement advice to other divisions.
  • Champion sustainability and green office management initiatives, including waste reduction programmes, energy and water conservation measures and environmentally responsible procurement practices.
  • Manage and maintain office inventory, fixed assets and assist in audits.
  • Support budget planning for Corporate Services, tracking payment KPIs for promptness and accuracy.
  • Facilitate the Professional Boards in records management matters and coordination of digitisation projects.
  • Lead requirements planning for registry and email system, manage vendors and work with end users during system development, user acceptance testing, implementation and ensuring deliverables meet organisational requirements and needs timely.
  • Drive reviews of internal processes to improve efficiencies in operations and maintain SOPs.
  • Assist in emergency preparedness planning, including implementation of crisis management protocols, safe management measures during emergencies and coordination of workplace safety initiatives.
  • Any other duties as assigned.
What we are looking for:
  • At least 3 years of working experience in office administration and process improvement methodologies.
  • Familiarity with GeBIZ system and government procurement process will be an advantage.
  • Understanding of sustainability practices and green office management principles.
  • Self‑motivated, analytical, strong sense of perspective and ability to manage multiple priorities.
  • Collaborative team player with proven ability to work effectively with diverse stakeholders and IT Professionals.
  • Good communication and writing skills.
  • Adaptable and proactive approach to learning new systems and processes with strong problem‑solving skills.
