The HR Executive supports the planning, coordination, administration, and delivery of learning and development programs, training events, and employee development initiatives across the organization. The role ensures smooth program execution, accurate learning records, effective stakeholder coordination, and a positive participant experience. It also provides exposure to regional Learning & Development and Talent Management activities, offering a strong foundation for an individual who is keen to build a career in people development.
Training Administration & Program Coordination
- Coordinate end-to-end administration for training programs, workshops, onboarding sessions, leadership programs, and other learning activities.
- Manage training calendars, participant registration, invitations, attendance, communications, materials, evaluations, and post-program documentation.
- Liaise with internal stakeholders, facilitators, external training providers, consultants, and educational institutions to support effective delivery.
- Coordinate venue bookings, virtual meeting arrangements, catering, equipment, travel-related requirements, and other program logistics where applicable.
- Support contract administration, purchase documentation, invoicing, and payment follow-up with relevant stakeholders.
Events & Learning Initiatives
- Support the planning and execution of learning events, conferences, employee development campaigns, regional workshops, engagement activities, and special HR initiatives.
- Develop event workplans, timelines, checklists, participant communications, and coordination materials to ensure activities are delivered on schedule.
- Coordinate event logistics including venues, registration, vendors, speakers, training materials, technology requirements, and participant support.
- Work with internal stakeholders to promote participation and strengthen employee engagement in learning and capability-building initiatives.
- Collect participant feedback, consolidate event outcomes, prepare post-event reports, and recommend practical improvements for future activities.
- Support regional HR, Talent Management, leadership development, and cross-functional projects as assigned.
Learning Systems, Records & Reporting
- Maintain accurate employee training records, course information, attendance data, completion records, and supporting documentation.
- Administer learning platforms and Learning Management Systems, including course creation, enrolment, user support, record updates, and basic troubleshooting coordination.
- Prepare regular training reports, dashboards, budget updates, participation summaries, and learning analytics for management review.
- Ensure training data is complete, accurate, handled confidentially, and maintained in accordance with applicable internal requirements.
Training Funding, Budget & Vendor Support
- Support training grant, subsidy, and government funding applications, claims, monitoring, tracking, and documentation.
- Maintain records of approved funding, claim status, utilization, supporting documents, and submission deadlines.
- Assist with monitoring training budgets, program costs, provider quotations, invoices, and related reports.
- Coordinate with training providers and relevant internal teams to ensure required documentation is submitted accurately and on time.
Learning & Development Support
- Assist with training needs analysis, annual learning plans, training calendars, course research, and program recommendations.
- Support the review of training content and collaborate with stakeholders to ensure programs are relevant to organizational and employee development needs.
- Conduct research on learning trends, training providers, digital learning solutions, and development practices.
- Support the preparation of presentations, program materials, communications, surveys, and other L&D resources.
Process Improvement & Digitalization
- Identify opportunities to improve training administration, participant experience, reporting, and stakeholder communication.
- Support digitalization and automation initiatives using appropriate HR systems and Microsoft 365 tools.
- Document work processes, maintain templates and checklists, and contribute to continuous improvement of L&D operations.
Requirements
- Diploma / Degree in Human Resources, Business Administration, Psychology, Education, Learning & Development, or a related discipline.
- Up to 3 years of relevant experience in HR, Learning & Development, training administration, events, or project coordination.
- Proficient in Microsoft Office applications, particularly Excel, Word, PowerPoint, Outlook, and Teams.
- Experience with a Learning Management System or HRIS will be an advantage.
- Strong written and spoken English.
