Prospect Protection Pte Ltd is looking for a hands‑on HR & Recruitment Executive to manage end‑to‑end recruitment and support the full employee lifecycle.
The main focus of this position is recruiting frontline employees for Singapore’s security industry. The successful candidate will work closely with our Operations team to understand manpower needs, source suitable candidates and ensure that new employees are properly documented, onboarded and ready for deployment.
This is an executive‑level position and does not include payroll processing.
Key Responsibilities
Recruitment
- Manage the full recruitment process, from receiving manpower requirements to successful onboarding.
- Work closely with Operations to understand site requirements, deployment timelines and suitable candidate profiles.
- Prepare and publish job advertisements through appropriate recruitment channels.
- Proactively source candidates through job portals, social media, referrals, community networks, recruitment events and direct outreach.
- Screen applications and conduct initial interviews.
- Assess candidates’ experience, communication, work attitude, availability and suitability for frontline operational roles.
- Coordinate interviews and selection with Operations and hiring managers.
- Follow up consistently with candidates throughout the recruitment process.
- Conduct reference, qualification and background checks where required.
- Prepare employment offers and collect the required pre‑employment documents.
- Build and maintain an active candidate pipeline for current and future manpower requirements.
- Maintain an accurate recruitment tracker and provide regular recruitment updates to Management.
- Ensure recruitment and selection decisions are properly documented and based on job‑related criteria.
Work Pass Administration
- Handle Work Permit and S Pass applications, renewals, issuances and cancellations for eligible employees.
- Verify that candidates meet the applicable MOM and company requirements before an application is submitted.
- Monitor work pass validity and expiry dates.
- Ensure applications and renewals are completed accurately and on time.
- Maintain complete work pass records and supporting documents.
- Communicate application requirements clearly to candidates and employees.
- Keep updated on relevant MOM regulations and work pass requirements.
Onboarding and HR Administration
- Coordinate pre‑employment checks and document collection.
- Prepare employment contracts, HR letters and other employee documentation.
- Conduct onboarding and employee orientation.
- Ensure new employees understand company policies, workplace expectations and reporting procedures.
- Coordinate with Operations to ensure new employees are ready for deployment.
- Create and maintain complete, accurate and confidential employee records.
- Support employee confirmation, transfer and other employment processes.
- Respond to employee enquiries clearly, patiently and professionally.
- Support the implementation and administration of HR policies and procedures.
Employee Relations and Offboarding
- Support the handling of attendance, conduct, grievance and disciplinary matters.
- Listen to employee concerns with patience and empathy while applying company policies fairly and firmly.
- Prepare the required documentation for employee‑related matters.
- Escalate serious, sensitive or unresolved matters to Management promptly.
- Coordinate resignations, terminations, exit clearance and the return of company property.
- Conduct or coordinate exit interviews when required.
- Ensure HR practices comply with Singapore’s Employment Act, MOM requirements and company policies.
Job Requirements
- Diploma in Human Resources, Business Administration or a related discipline.
- At least two years of relevant HR or recruitment experience is preferred.
- Practical experience managing recruitment from candidate sourcing through onboarding.
- Recruitment experience in security, construction, cleaning, landscaping, manufacturing, warehousing or another frontline manpower‑intensive industry will be useful for this position.
- Experience recruiting for shift‑based, operational or high‑volume frontline roles is preferred.
- Familiarity with Work Permit and S Pass application and administration processes.
- Sound working knowledge of Singapore’s Employment Act and general HR practices.
- Able to manage multiple vacancies, candidates and deadlines independently.
- Able to maintain accurate records and protect confidential employee information.
- Proficient in written and spoken English.
- Proficient in Microsoft Office and comfortable using HR systems, job portals and recruitment trackers.
This position requires regular communication with frontline candidates and employees from different backgrounds. The ability to communicate in Bahasa Malaysia, Mandarin or Tamil, in addition to English, may be useful where employees require assistance understanding recruitment, onboarding or HR instructions.
