Job summary

Ping Siong International Pte Ltd in Singapore is looking for a responsible HR Executive to manage day-to-day HR matters and support the company’s workforce operations.

The successful candidate will handle the full spectrum of HR administration, including recruitment, employee records, attendance and leave, employment documentation, work pass matters and general employee support. This role requires someone who is proactive, detail-oriented and able to follow up on HR matters independently.

Qualifications

  • Diploma or degree in HR, business administration or related discipline.
  • Previous HR experience in Singapore will be an advantage.
  • Knowledge of Singapore employment practices and MOM work pass processes will be an advantage.
  • Experience handling foreign employees / work pass matters is preferred.
  • Good knowledge of Microsoft Word and Excel.
  • Strong administrative and organisational skills.
  • Detail-oriented and able to maintain accurate employee records.
  • Good communication and interpersonal skills.
  • Able to handle confidential information professionally.
  • Strong follow-up skills and able to work independently.
  • Proactive and able to manage multiple HR matters simultaneously.

Responsibilities

  • Manage recruitment activities including job advertisements, candidate screening, interview coordination and onboarding.
  • Prepare employment contracts, letters of appointment, confirmation letters, warning letters and other HR documents.
  • Maintain accurate and updated employee personnel records.
  • Manage employee attendance, leave, medical leave and related records.
  • Coordinate new employee onboarding and employee exit processes.
  • Handle work pass applications, renewals, cancellations and MOM-related administrative matters.
  • Monitor work pass expiry dates and ensure renewals are followed up promptly.
  • Coordinate employee medical examinations, insurance and other employment-related requirements.
  • Assist with payroll preparation by checking attendance, overtime, leave and employee information.
  • Maintain proper records for salary adjustments, allowances, incentives and other employee-related matters.
  • Support management in employee performance, disciplinary and workplace matters.
  • Prepare and maintain HR policies, procedures, forms and employee documentation.
  • Handle employee enquiries relating to company policies, leave, attendance and employment matters.
  • Coordinate training and staff development where required.
  • Assist with foreign employee accommodation and administrative arrangements where applicable.
  • Ensure HR practices and documentation comply with company policies and applicable Singapore employment requirements.
  • Maintain confidentiality of employee and company information.
  • Provide general HR and administrative support to management.
  • Perform other HR-related duties assigned by management.
