Job summary

Jones Lang LaSalle Property Consultants Pte Ltd is seeking a Facilities Administrator to serve as the operational backbone of our facility management services in Singapore. You will coordinate building services, manage vendor relationships, and maintain facility records while supporting onboarding, financial processes, and communications across teams.

You will oversee preventive maintenance, respond to facility requests, ensure safety/regulatory compliance, and work with management to deliver

Qualifications

• Diploma or equivalent held.
• 2+ years in facilities or property management.
• Proficient with CMMS and MS Office.
• Strong organization and deadline-driven.
• Excellent written and verbal communication with vendors.
• Experience with financial processing systems.
• Basic understanding of HVAC, electrical, plumbing.
• Ability to work independently in fast-paced environments.

Responsibilities

• Coordinate and schedule preventive maintenance across building systems.
• Process and track facility service requests in CMMS; close work orders timely.
• Serve as CMMS system expert; provide support to users.
• Analyze CMMS data to identify trends and report to management.
• Manage vendor relationships and coordinate quarterly business reviews.
• Support staff onboarding/offboarding and maintain documentation.
• Draft payment memos and process incoming funds in financial systems.
• Create and distribute EDMs and circulars per client brand tone.
• Schedule meetings and take minutes for Monthly Operations Meetings.
• Support facility inspections; prepare reports and schedules.
• Complete other duties and special projects as assigned.
