Job summary

DIRECT SEARCH ASIA PTE. LTD. is seeking a proactive Facilities & Administration Executive to support day-to-day operations of building and workplace facilities in a marine and engineering environment.

You will coordinate preventive maintenance, vendor interactions, purchasing, PPE, and related documentation to maintain a safe and efficient workplace. Responsibilities include managing asset records, safety equipment inventories, inspections, and coordination with contractors and service

Qualifications

• Minimum qualification: NITEC or Diploma in a related discipline.
• Experience coordinating facilities, vendors, purchasing, and administrative tasks.
• Experience in marine, engineering, industrial, or technical services is advantageous.
• Proficiency with Excel, Word, Outlook and PowerPoint; familiarity with ERP systems.

Responsibilities

• Coordinate preventive maintenance schedules, repairs, and inspections.
• Track defects and ensure corrective actions are completed.
• Coordinate with contractors and service providers for maintenance.
• Maintain records of assets, warranties, service contracts and inspections.
• Support PPE inventory, uniforms, safety equipment, and related procurement.
• Administer WSH, ISO documentation, audits, and compliance activities.
• Manage office supplies, signage, meeting room equipment, and admin records.
• Prepare monthly facilities reports on maintenance, vendor performance, and budgets.
