Trainer Scheduling & Coordination
- Receive and process monthly course requests and language requirements from the MWC.
- Coordinate and schedule trainers for English and native language classes based on demand and trainer availability.
- Maintain an updated calendar and system of course schedules and trainer assignments.
- Proactively collect and forecast trainer availability monthly.
- Reassign trainers or make alternative arrangements when trainers are sick or unavailable at short notice.
Trainer Management
- Communicate clearly and regularly with a pool of approved freelance trainers.
- Build positive working relationships with trainers and act as a key point of contact.
- Support the onboarding of new trainers as needed.
- Monitor trainer performance and gather feedback when necessary.
Administrative & Support Duties
- Maintain accurate trainer records, including certifications, availability, and assignment history.
- Ensure accurate and error-free documentation and scheduling.
- Provide support to other training operations when necessary.
Requirements
- Diploma or higher in Business Administration, Human Resource Management, Education, or related fields.
- Prior experience in coordination, scheduling, training operations, or freelancer management is an advantage.
- Highly meticulous and detail-oriented — accuracy is essential.
- Strong interpersonal and communication skills — able to liaise effectively with both internal staff and external trainers.
- Able to work independently and under pressure in a fast-paced environment.
- Proficient in Microsoft Excel and scheduling tools; comfortable with digital platforms for communication and record-keeping.
- Problem-solver with a proactive and calm approach to last-minute changes or challenges.
