Role Overview
The Customer Service & Operations Executive serves as the primary point of contact for customers and is responsible for managing day-to-day operational tasks including customer enquiries, booking processing, fleet compliance, and payment follow-up. This role requires strong communication skills, attention to detail, and the ability to coordinate across multiple tasks in a fast-paced environment.
Key Responsibilities
Customer Service & Communication
- Respond to customer enquiries via email in a timely and professional manner, including preparation of accurate quotations
- Handle inbound customer calls to address enquiries, resolve issues, and provide service information
- Process school booking forms received via email or fax, ensuring accuracy and completeness of records
Fleet & Compliance Administration
- Vet and verify driver claim sheets against system records to ensure accuracy before processing
- Monitor road tax expiry dates and coordinate all prerequisite steps for renewal, including valid VPC, bus inspection, and insurance coverage
- Prepare and submit written appeals to relevant authorities on behalf of the company as required
- Source and compare insurance quotations, liaising with brokers and insurers to obtain the best coverage and pricing
Billing & Collections
- Issue ad-hoc invoices to customers accurately and promptly upon request or upon service completion
- Follow up on outstanding payments through systematic and professional communication with customers
Job Requirements
Education & Experience
- Minimum GCE 'O' Level or Diploma in Business Administration, Operations Management, or a related field
- At least 1 to 2 years of experience in a customer service, administrative, or operations role
- Prior experience in the transport, logistics, or fleet management industry is an advantage
Skills & Competencies
- Strong written and verbal communication skills in English; ability to correspond professionally via email
- Competent in Microsoft Office applications, particularly Word, Excel, and Outlook
- Good numerical literacy for verifying claims, preparing invoices, and following up on payments
- Organised and detail-oriented, with the ability to manage multiple deadlines concurrently
- Familiarity with insurance processes, road tax renewal procedures, or fleet compliance is a plus
- Ability to work independently with minimal supervision and exercise sound judgment
