Job summary

JIH SUN Employment Agency in Singapore is seeking a proactive Project Coordinator to support work permit applications and document preparation for offshore campaigns. You will liaise with agents and customers, coordinate with vessel owners, and manage travel and medical examination arrangements.

The ideal candidate has at least one year of related experience and strong organizational and communication skills.

Qualifications

• Minimum GCE O-Level qualification.
• Minimum 1 year of relevant experience in project coordination or administration.
• Ability to interact effectively with all levels of staff.
• PC literate with strong organizational skills.

Responsibilities

• Coordinate with agents on work permit applications and provide progress updates.
• Liaise with customers to obtain support letters for work permits.
• Coordinate with vessel owners to obtain crew lists and documents.
• Collaborate with team on project personnel documents.
• Arrange offshore medical exams with clinics (OGUK, Norwegian, Petronas).
• Submit clinic invoices to Finance for processing.
• Coordinate HR travel for work permit applications or campaigns.

Job description

Key Responsibilities

• Coordinate with appointed agents on work permit applications and provide progress updates to management.
• Liaise with customers to obtain support letters for work permit applications.
• Coordinate with vessel owners to obtain crew lists and compile all required crew documents.
• Collaborate with team members on project personnel document compilation.
• Arrange offshore medical examinations with clinics (e.g., OGUK, Norwegian, Petronas medical).
• Submit clinic invoices to Finance for processing.
• Coordinate with HR on project personnel travel arrangements for work permit applications or campaigns when required.

Other Responsibilities

• Maintain and update project personnel CVs.
• Keep up-to-date records of project personnel documents (e.g., BOSIET, offshore medical, and other training certificates) and arrange for renewals before expiry.
