Job Summary
We are looking for a motivated anddetail-oriented Commercial Executive to support our commercial, sales,quotation, procurement, and administrative activities. The candidate will beresponsible for handling customer enquiries, preparing quotations, following upon orders, coordinating with suppliers and internal teams, and ensuring smoothcommercial operations.Experience in the marine,shipyard, engineering, offshore, or industrial services industry will be anadvantage.
Key Responsibilities
1. Sales & Customer Enquiries
- Receiveand review customer enquiries, RFQs, and work requests.
- Understandcustomer requirements and coordinate with the technical/operations team forclarification.
- Prepareand submit professional quotations and commercial offers.
- Followup on submitted quotations and negotiate pricing where required.
- Maintaingood relationships with existing customers and identify potential new businessopportunities.
- Handlecustomer correspondence and provide timely responses.
2. Commercial & TenderActivities
- Preparequotations based on manpower, materials, equipment, logistics, subcontractor,and other project costs.
- Reviewspecifications, scopes of work, drawings, and technical requirements.
- Obtainand compare supplier/subcontractor quotations.
- Assistin tender preparation, cost calculations, and commercial evaluations.
- Preparerevised quotations, variation orders (VOR), and additional-work quotations.
- Monitorquotation status and maintain proper records.
3. Purchase & SupplierCoordination
- Sourcematerials, equipment, spare parts, and services from approved suppliers.
- Requestquotations and negotiate with suppliers for competitive pricing and deliveryterms.
- Issueand follow up on purchase orders where required.
- Coordinatematerial availability and delivery schedules with suppliers and operationsteams.
- Monitoroutstanding purchases and ensure timely delivery to project sites or vessels.
4. Project & Work OrderCoordination
- Coordinatewith project, workshop, operations, and site teams regarding job requirements.
- Followup on Work Orders (WO), Purchase Orders (PO), Delivery Orders (DO), and otherproject documentation.
- Trackadditional works and ensure proper commercial approval before proceeding whereapplicable.
- Maintainrecords of project costs, variations, and commercial commitments.
5. Invoicing & PaymentFollow-Up
- Prepareand submit invoices based on completed works, approved quotations, POs, andsupporting documents.
- Coordinatewith the accounts department for invoice submission and payment follow-up.
- Monitoroutstanding invoices and assist in collection activities.
- Ensuresupporting documents such as timesheets, DOs, service reports, and approvalsare properly maintained.
6. Documentation &Administration
- Maintainaccurate records of quotations, POs, WOs, invoices, supplier offers, andcustomer correspondence.
- Updatecommercial trackers and prepare regular sales/order status reports.
- Ensureall commercial documents are properly filed and easily retrievable.
- Assistmanagement with commercial reports, cost analysis, and business-relateddocumentation.
Job Requirements
- Diplomaor Degree in Business Administration, Sales & Marketing, Engineering,Commerce, or a related field .
- Minimum 2-3 years of experience in a commercial, sales, quotation, procurement,or related role.
- Experiencein the marine, shipyard, offshore, engineering, or industrial sector ispreferred.
- Goodunderstanding of quotation preparation, costing, purchasing, and commercialdocumentation.
- Strongnegotiation and communication skills.
- Goodwritten and spoken English.
- Proficientin Microsoft Office, especially Excel and Word .
- Ableto work independently and coordinate effectively with customers, suppliers, andinternal teams.
- Strongattention to detail and good follow-up skills.
- Ableto work under pressure and meet deadlines.
- Willingto travel to shipyards, vessels, workshops, or customer locations whenrequired.
Preferred Skills
- Knowledgeof marine engineering services, heat exchangers, ship repair, fabrication, oroffshore works.
- Familiaritywith RFQs, quotations, POs, WOs, VORs, DOs, invoices, and service reports .
- Experiencedealing with shipyards, vessel owners, ship management companies, and marinesubcontractors.
- Basicunderstanding of manpower and material costing.
- Abilityto read and understand technical scopes of work.
- Strongcustomer service and business development skills.
