Directions Group Inc. is a leading integrated marketing and communications company in Singapore, seeking an energetic Associate Specialist to assist with private events such as weddings, anniversaries and parties.

You will work with a small team to plan, prepare and coordinate meetings with clients and vendors. Responsibilities include negotiating quotations, managing budgets, and supporting end-to-end event execution while updating timelines, guest lists and vendor relations.

Formación

• 1–2 years of experience in event planning and coordination.
• Networking in design, production and audiovisual is an advantage.
• Experience with luxury brand, hospitality sectors is a plus.
• Strong organizational and project management abilities with attention to detail.

Responsabilidades

• Review proposals and contracts on behalf of clients.
• Negotiate quotations and manage the budget for each event.

• Update and manage event checklists and timelines, and remind involved parties of tasks.
• Assist with guest list management and vendor relations for each event.
• Research trends and styles for private events to stay current.
• Maintain accurate records and files for all projects, including budgets and contracts.

The Job Description:

Working with a small team of dynamic individuals, the Associate Specialist will assist with the execution of private events that include weddings, anniversaries, and private parties.

Responsibilities:

• Provide key support to the team by planning, preparing and coordinating meetings with clients and/or vendor(s), recording discussions and following up after the meeting
• Brainstorming with the team to develop creative concepts and design based on the brief from the clients
• Review proposals and contracts on behalf of clients
• Negotiate quotations and manage the budget on behalf of the clients, as well as internal costings for each event
• Assist the team with the execution of private events from start to finish
• Update and manage the checklist and timeline for each event, and provide reminders for upcoming tasks for all parties involved
• Assist with guest list management
• Keep up to date, research new trends and styles for private events
• Create and maintain accurate and up-to-date records and files for all event management projects, and ensure that all budgets, proposals, guest lists, event photos and contracts are properly filed
• Ensure information such as business contacts and vendor lists is updated
• Maintain vendor relations and serve as a point of contact for all selected vendors for each event

Requirements:

• Diploma or Degree in Business Studies, Event Management, Marketing, Mass Communications, Creative/Design or a related field
• Demonstrated 1-2 years of experience in event planning and coordination, including logistics management, vendor liaison, and on-site execution for private or corporate events.
• An existing network of contacts in design, production and Audiovisual will be an advantage
• Previous agency, luxury brand, or hospitality experience is a plus, along with knowledge of the Singapore events and hospitality landscape
• Organisational and project management abilities, including attention to detail, time management, budget tracking, and the capacity to handle multiple events or tasks simultaneously
• Creative and strategic thinking in designing event concepts, guest journeys, and brand-aligned experiences, preferably within luxury or lifestyle sectors.
• Meticulous with strong attention to details
• Strong client service and communication skills, with the ability to manage expectations, respond promptly to inquiries, and collaborate effectively with diverse stakeholders.
• A team player with strong interpersonal skills, proactive and able to work independently
• Some night and weekend work is required
• Proficient in all Microsoft Office applications
