Job summary

Directions Group Inc, a leading integrated marketing and communications company in Singapore, seeks an energetic Associate Specialist to support private events, including weddings, anniversaries, and private parties. You will join a small team and help with planning, client communications, budgeting, and on-site execution.

The role requires a Diploma/ Degree in relevant fields and 1–2 years in Event Management or related creative/design work.

Qualifications

• Diploma or degree in Business Studies, Event Management, Marketing, Mass Communications, Creative/Design or related field.
• Minimum 1–2 years of relevant experience in Event Management or in a Creative/Design field.
• An existing network of contacts in design, production and Audiovisual will be an advantage.
• High level of organisational and time management skills with the ability to multi-task, prioritise tasks and meet deadlines.
• Passion for events and meticulous with strong attention to detail.
• Good written and verbal communication skills.
• Positive attitude, resourceful by nature and excellent problem-solving capabilities.
• Team player with strong interpersonal skills, able to work independently.
• Some night and weekend work may be required.
• Proficient in all Microsoft Office applications.

Responsibilities

• Provide key support to the team by planning, preparing and coordinating meetings with clients and/or vendor(s), recording discussions, and following up after the meeting.
• Brainstorming with the team to develop creative concepts and design based on the brief from the clients.
• Review proposals and contracts on behalf of clients.
• Negotiate quotations and manage budget on behalf of clients as well as internal costings for each event.
• Assist the team with the execution of private events from start to finish.
• Update and manage the checklist and timeline for each event, and provide reminders for upcoming tasks for all parties involved.
• Assist with guest list management.
• Provide support during events.
• Keep up to date with research on new trends and styles for private events.
• Create and maintain accurate and up-to-date records and files for all event management projects, and ensure that all budgets, proposals, guest lists, event photos and contracts are properly filed.
• Ensure information such as business contacts and vendor lists is updated.
• Maintain vendor relations and serve as a point of contact for all selected vendors for each event.
