Position Overview
The Administrative & Corporate Support Assistant provides essential administrative and operational support to the Registered Agent and Corporate Services team. This junior-level role assists with routine filings, maintaining statutory records, preparing basic corporate documents, and supporting daily administrative tasks to ensure the efficient delivery of corporate secretarial services.
Key Responsibilities
Administrative Support
- Assist with general office administration, document management, and record keeping.
- Scan, file, and organize statutory and client documentation in physical and digital formats.
- Maintain up-to-date internal databases and client records.
- Assist with the preparation of invoices, receipts, and service forms where required.
- Support the team with scheduling, correspondence, and follow-up tasks.
Corporate & Registered Agent Support
- Assist in preparing basic corporate documents (e.g., letters, registers, resolutions, notices) using templates.
- Support the preparation and filing of statutory documents, such as updates to the Register of Members, Register of Directors, annual returns, and other filings required by the Registered Agent.
- Assist with company incorporations, amendments, and routine corporate actions under supervision.
- Coordinate requests for certificates, extracts, and due filings with the Registry or relevant authorities.
- Update and maintain corporate records, statutory books, and compliance checklists.
Compliance & KYC Support
- Assist with collecting KYC documents from clients as part of onboarding requirements.
- Ensure that completed KYC sets and compliance forms are properly filed and logged.
- Support the team in tracking outstanding documents and following up with clients.
Client Service Support
- Handle routine client queries professionally and redirect complex matters to senior team members.
- Assist with preparing client correspondence and ensuring timely responses.
Qualifications & Skills
Education
- Diploma or certificate in business administration, corporate services, or related field.
- Fresh graduates are welcome to apply.
Skills & Competencies
- Strong organizational and administrative skills.
- Good attention to detail and accuracy.
- Ability to manage multiple tasks and meet deadlines.
- Proficiency in MS Office (Word, Excel, Outlook).
- Good written and verbal communication skills.
- Willingness to learn corporate secretarial and compliance procedures.
Experience
- No prior experience required; training will be provided.
- Experience in a corporate services, legal, or administrative environment is an advantage.
