Job summary

Sian Chay Medical Institution in Singapore seeks an organized Administrative Officer to support daily operations and donor communications. You will maintain records, prepare reports, handle correspondence, and assist with logistics and procurement in a busy charity environment.

Qualifications

  • Diploma or equivalent qualification in Business Administration or a related field.
  • At least 1–2 years of relevant administrative experience preferred.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook and PowerPoint).
  • Good organisational and time management skills.
  • Strong attention to detail and accuracy.
  • Good communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Responsible, proactive and able to handle multiple tasks efficiently.
  • Experience in charity, healthcare or non-profit organisations will be an advantage.
  • Bilingual in English and Chinese to communicate with English- and Chinese-speaking stakeholders.

Responsibilities

  • Provide general administrative and clerical support for daily office operations.
  • Handle correspondence, phone calls, emails and enquiries from donors, beneficiaries and external parties.
  • Maintain and update records, databases, filing systems and administrative documents.
  • Prepare letters, reports, meeting minutes and other administrative documents as required.
  • Assist in processing donations, issuing receipts and maintaining donor records.
  • Coordinate appointments, meetings, events and logistics arrangements.
  • Liaise with internal departments, vendors and external stakeholders to ensure smooth operations.
  • Assist in procurement, inventory tracking and office supplies management.
  • Support the preparation of monthly reports and other documentation.
  • Perform data entry and ensure accuracy of records.
  • Undertake any other administrative duties assigned by management.
