Job summary

Sian Chay Medical Institution in Singapore is seeking an experienced Administrative Manager to oversee daily operations and guide the administrative team.

You will develop, implement and improve policies, ensure records are well maintained, coordinate meetings and manage office logistics.

The role requires 3–5 years of supervisory experience, strong leadership, excellent planning and problem-solving, and bilingual English/Chinese; healthcare or non-profit exposure is advantageous.

Qualifications

  • Diploma or degree in Business Administration, Management or related field.
  • 3–5 years of administrative experience; supervisory experience preferred.
  • Strong leadership, people management and communication skills.
  • Excellent organisational, planning and problem-solving abilities.
  • Experience in charity/healthcare/non-profit is advantageous; bilingual English/Chinese.

Responsibilities

  • Oversee and manage the daily administrative operations of the organisation.
  • Supervise and provide guidance to administrative staff.
  • Develop, implement and improve administrative policies and procedures.
  • Ensure proper maintenance of records, filing systems and organisational documentation.
  • Coordinate meetings, events, schedules and office logistics.
  • Monitor office facilities, equipment and supplies to ensure smooth operations.
  • Liaise with government agencies, vendors, donors and external stakeholders when required.
  • Support management in budgeting, procurement and administrative planning.
  • Ensure compliance with organisational policies and regulatory requirements.
  • Prepare management reports and administrative performance updates.
  • Assist in strategic planning and organisational improvement initiatives.
  • Handle confidential information with professionalism and discretion.
  • Perform other duties assigned by senior management.

  • Bilingual in English and Chinese to communicate with stakeholders from diverse backgrounds.
