Job summary

J2 Sourcing AB in Malmö seeks an Italian-speaking Sales Support to join our international team. You will ensure orders and sales processes are handled efficiently and professionally, coordinating with Sales and Purchasing.

Qualifications

Responsibilities

• Receive and review customer purchase orders against approved quotations.
• Create and maintain customer and item records in our ERP system.
• Update customer information based on internal processes and documentation.
• Support customers in regulated industries (Aerospace and Defense) by following procedures.
• Screen items for compliance and company regulations.
• Add costs and process sales orders.
• Coordinate order processing between Sales and Purchasing teams.
• Send order confirmations to customers and sales reps.
• Monitor sales orders and ensure timely follow-up.
• Process customer prepayments.
• Manage blanket sales orders and generate sales releases.
• Create sales return orders.
• Run planning activities and create assembly orders.

Your Responsibilities

• Receiving and reviewing customer purchase orders against approved quotations.

• Creating and maintaining customer and item records in our ERP system.

• Updating customer information based on data received through internal processes and customer documentation.

• Supporting customers within regulated industries, including Aerospace and Defense, by following established procedures.

• Screening items according to company regulations and compliance requirements.

• Adding applicable costs and processing sales orders.

• Coordinating order processing between Sales and Purchasing teams.

• Sending order confirmations to customers and sales representatives.

• Monitoring sales orders and ensuring timely follow-up.

• Processing customer prepayments.

• Managing blanket sales orders and generating sales releases when needed.

• Creating sales return orders.

• Running planning activities and creating assembly orders to support operational flow.

Who You Are

We believe you are a structured and service-oriented professional who enjoys working closely with others and solving problems efficiently. You are comfortable handling multiple tasks simultaneously while maintaining a high level of accuracy.

We are looking for someone who has:

• 2-5 years of experience working with ERP and CRM systems.

• Previous experience within sales support, customer service, order administration, sales operations, or a similar operational role.

• Strong process-oriented thinking and attention to detail.

• A collaborative mindset and the ability to work effectively across departments.

• An entrepreneurial attitude with a willingness to take initiative and continuously improve ways of working.

• A Bachelor's degree or equivalent experience.

• Fluency in both Italian and English, written and spoken.
