Job summary

Office Coordinator - Part time (60%)

Are you someone who takes pride in creating spaces that feel welcoming, organised, and cared for? Do you naturally notice when something needs fixing, cleaning, tidying, or improving and just get on with it? We’re looking for an Office Coordinator to become the heartbeat of our Stockholm studio: someone who helps create a smooth, enjoyable start to every day and takes real ownership of our office environment.

We’re looking for someone hands‑on, proactive, and practical. Someone who isn’t afraid to wipe down surfaces, sort out a spill, troubleshoot a problem, or call in the plumber when needed. You’ll be the first person in the office, making sure the studio is clean, ready, welcoming, and running smoothly before the team arrives.

This is a part-time position (60%) with Monday and Friday required. The remaining hours could be made up with either a full day on either Tuesday or Wednesday or by splitting the full day into two mornings across these two days.

What you’ll be doing

You’ll play a key role in creating an office experience where people genuinely enjoy coming to work. From opening up the studio in the morning to keeping the environment clean, functional, and energising throughout the day, you’ll help shape the atmosphere and daily experience for the whole team.

We’re a gaming studio that loves balancing fun with focus, and we’re looking for someone who enjoys bringing warmth, care, and personality into the workplace.

We use English as our day‑to‑day language around the office, but you will also need fluent Swedish skills to deal with local suppliers and vendors.

Creating a great start to the day
  • Arrive between 07:30 and 08:30 to open and prepare the studio for the day.
  • Make sure the office feels welcoming and ready before employees arrive: lights on, music on, coffee brewing, kitchen tidy, meeting spaces reset, and everything in its place.
  • Be a friendly and familiar face for employees and guests arriving in the morning.
Taking ownership of the office environment
  • Keep the studio clean, tidy, organised, and running smoothly day‑to‑day.
  • Stay on top of practical tasks such as cleaning coffee machines, tidying kitchens, restocking supplies, wiping surfaces, and handling general upkeep.
  • Proactively spot issues and take action, whether that means fixing something yourself, coordinating repairs, contacting building management, or arranging external support when needed.
  • Help maintain a workspace people feel proud to spend time in.
Keeping things running smoothly
  • Order and manage office supplies, snacks, drinks, and kitchen essentials.
  • Coordinate with the landlord and external providers on practical matters such as maintenance, fobs, fire alarm tests, repairs, deliveries, and first aid supplies.
  • Support the smooth day‑to‑day running of the studio and help solve problems as they arise.
Bringing energy and moments of joy
  • Organise breakfasts, fika, lunches, after‑work events, and other social moments that bring people together.
  • Add warmth and personality to the office through thoughtful touches like flowers, treats, seasonal decorations, or creative ideas.
  • Support the planning and coordination of events such as summer parties, Kick‑Offs, MAG Con, and other studio celebrations.
Team and admin support
  • Help organise internal meetings with snacks, fika, and refreshments when needed.
  • Support travel bookings and other administrative tasks in collaboration with our People & Culture team.
  • Assist with onboarding by preparing desks, equipment, and creating a warm welcome for new starters.
Your skills & experience
  • You’ve worked in a service‑focused role before, perhaps as an Office Coordinator, Receptionist, Waitress, or within hospitality in general, and have at least one year of experience.
  • You’re fluent in both Swedish and English, with strong written and verbal communication skills. You feel confident communicating with suppliers and vendors in Swedish, while using English daily with colleagues across the studio.
  • You enjoy being hands‑on and take pride in maintaining welcoming, organised spaces.
  • You’re proactive and practical. If something needs doing, you’re happy to roll up your sleeves and sort it out.
  • You’re highly organised, self‑driven, and comfortable taking ownership of your responsibilities.
  • You’re observant and detail‑oriented, often spotting what needs attention before anyone else does.
  • You have a positive, can‑do attitude and genuinely enjoy helping people.
  • You’re always thinking about how to improve the office experience and make daily life easier for the team.
  • Most importantly, you bring warmth, energy, and positivity to the workplace and enjoy creating an environment where people love to be.
  • You’re confident using Google Workspace or equivalent tools.
