About The Role

As an Office Manager at Voyado, you have the main responsibility for all office-related event planning, administration, and coordination and ensure a welcoming, safe, and compliant workplace. Our offices are a key factor in building our culture and overall success, providing us with a place for collaboration, focus, and creativity.

You are part of the People & Culture team and report directly to Sarah Jerlin, Head of Office Management. This means that you will also be involved in other projects related to the People area, such as different engagement activities and internal/external employer branding events.

This is a part-time role (25 hours/week) with set hours: Monday-Thursday 08:30–13:30 and Friday 07:30–12:30.

Scope & responsibilities
  • Serve as the primary point of contact for office operations, including maintenance, mail and shipping, office supplies, equipment, and workplace-related purchases.
  • Create a welcoming onboarding experience for new hires by coordinating badges, workspace setup, welcome kits, office tours, and other practical arrangements.
  • Plan and execute local events, including all‑hands meetings, team gatherings, celebrations, and community meetups.
  • Manage relationships with vendors, service providers, landlords, and other external partners to ensure smooth day‑to‑day office operations.
  • Support employees with business travel arrangements, including hotel bookings and other logistics for internal travel.
  • Coordinate calendars, meeting rooms, and office schedules to keep operations running efficiently.
  • Monitor office and kitchen inventory, maintain supply levels, track expenses, and keep simple budgets up to date.
Qualifications
  • Previous experience in a service‑oriented role, such as office/workplace management, reception, office coordination, or executive/administrative assistance.
  • Strong time management skills, with the ability to prioritize effectively and manage multiple tasks simultaneously.
  • A genuine service mindset and excellent interpersonal skills, with a passion for creating positive experiences for colleagues and visitors.
  • A proactive, solution‑oriented approach: you identify potential issues early and take initiative to address them.
  • Strong organizational and planning skills.
  • Fluency in Swedish and confidence communicating in English. Since we’re planning to take over the world, you’ll need to be comfortable using English in your day‑to‑day work.
