Job description

We are looking for someone who believes that great experiences are built behind the scenes. Someone who enjoys practical work, pays attention to the smallest details and takes pride in making things feel effortless for others.

Media Evolution is a community‑owned, non‑profit platform and place for co‑creation, competence development, and futures‑thinking.

For more than fifteen years we have brought together people from business, academia, the public sector and civil society to explore change, navigate uncertainty and strengthen our collective capacity to shape resilient and thriving futures.

At the heart of our work is a place in Malmö. A place for work, meetings and collaboration. A place where people come together across differences. A place where relationships are built, ideas take shape and futures are imagined together.

As we expand into a second building, we are looking for a Meetings & Events Coordinator to join our Place team.

This is a role for someone who enjoys creating great experiences for others and understands that this often starts with practical work behind the scenes. You genuinely enjoy helping people and take pride in making others feel welcome, supported and cared for. It is a hands‑on and physically active role with a fast pace. You bring energy, enjoy being where things are happening and notice the details that make a difference.

You have a strong eye for detail and understand that small things often make a big difference to the overall experience. Whether it's the setup of a room, the flow of a meeting or an event, the placement of furniture or the experience of a guest, you care about getting things right.

You are also highly collaborative and communicative in your way of working. You understand that creating a welcoming and well‑functioning environment requires close collaboration across teams, good teamwork, clear communication and sharing information before it becomes a problem. You actively keep colleagues informed and help ensure that nothing falls between the cracks.

You will work closely with our Meetings & Events Lead to create great conditions for meetings, workshops and events across our two buildings.

From preparing rooms and welcoming guests to solving practical challenges and supporting event delivery, you will play an important role in ensuring that every meeting and event feels professional, welcoming and well‑executed.

Some of the things you’ll do
  • Prepare, furnish and create great conditions for meetings, workshops and events
  • Welcome meeting guests, speakers and participants
  • Work from and help run our front desk, creating a warm and welcoming experience for tenants, meeting guests and visitors
  • Manage meeting enquiries, bookings and customer communication
  • Support customers in finding the right spaces and solutions for their meetings and events
  • Support guests and help solve practical challenges during meetings and events
  • Coordinate logistics, furniture setups and materials
  • Provide basic technical support
  • Help ensure that spaces are prepared, presented and maintained to a high standard
  • Contribute to the continuous improvement of routines, standards and ways of working
  • Work closely with colleagues across the Place team
We think you are someone who
  • Enjoys practical and hands‑on work
  • Has a strong attention to detail and takes pride in doing things properly
  • Is organised, reliable and follows things through
  • Communicates proactively and keeps colleagues informed
  • Understands the importance of teamwork and shared responsibility
  • Has a strong service mindset and enjoys working with people
  • Takes initiative, solves problems and notices what others miss
  • Can manage several tasks and priorities at the same time
  • Is fluent in Swedish, both spoken and written, and comfortable working in English
It is beneficial if you
  • Have experience from hospitality, conferences, coworking, events or similar environments
  • Have experience working with guests, customers or visitors
  • Have an interest in technology and event production
  • Have experience coordinating practical logistics
  • Are curious about foresight, innovation and entrepreneurship
  • Have a driver's license

We believe this role is for someone who takes pride in making things run smoothly and helping others have a great experience. Someone who understands that details matter, communication matters, and that memorable meetings and events are often created through strong teamwork. Through your work, you’ll help create the environments where people can learn, collaborate and navigate change together.

If this sounds exciting, we’d love to hear from you.
