Job summary

SIHAMCO is seeking an organized HR Onboarding Specialist to manage the full onboarding journey for new hires across Saudi Arabia. You will coordinate with Recruitment, HR, Operations and Facilities to ensure compliance, smooth induction and a warm welcome from day one.

This role covers immigration documentation, accommodation readiness, orientation, transport, and ongoing employee welfare. You will be the main point of contact during the first weeks, helping international hires adapt and settle

Qualifications

• Relevant Bachelor's Degree
• 3 years' experience in HR Operations, Employee Relations, Onboarding, Facilities Management
• Experience within hospitality, entertainment or large multi-site operations
• Experience supporting international recruitment and employee relocation
• Experience working with accommodation management is advantageous

Responsibilities

• Manage end-to-end onboarding for all new employees across Saudi Arabia
• Coordinate pre-arrival communication and onboarding schedules
• Ensure employment contracts and HR documentation are completed
• Create and maintain employee files and HR records
• Coordinate immigration processes (visa, iqama, medicals) and compliance milestones
• Arrange accommodation readiness and transport for new hires
• Deliver orientation and induction sessions and introduce SIHAMCO culture
• Coordinate facilities and onboarding spaces to maintain standards
• Maintain onboarding records in HRIS and produce reports

Position Summary

The HR Onboarding & Facilities Manager is responsible for managing the complete employee arrival and onboarding journey. This role coordinates with Recruitment, HR, Operations, and Facilities to ensure every new hire is legally compliant, fully inducted, comfortably accommodated, and equipped to succeed from day one.

The successful candidate will oversee onboarding administration, immigration documentation, accommodation readiness, orientation programmes, transport arrangements, employee welfare, and facility coordination while delivering an exceptional employee experience.

Key Responsibilities

Employee Onboarding

• Manage the end-to-end onboarding process for all new employees.
• Prepare onboarding schedules before employee arrival.
• Coordinate pre-arrival communication with new hires.
• Ensure employment contracts and HR documentation are completed.
• Create employee personnel files and maintain HR records.
• Verify all required documentation before commencement.

Immigration & Compliance

• Coordinate with the PRO regarding:
• Work visas
• Iqama processing
• Medical examinations
• Fingerprinting
• Government registrations
• Track immigration milestones.
• Monitor expiry dates for visas, Iqamas and other legal documentation.
• Maintain accurate compliance records and reports.

Employee Arrival Experience

• Coordinate airport arrivals where required.
• Arrange transportation to accommodation.
• Ensure accommodation is prepared before employee arrival.
• Issue welcome packs.
• Assist employees with settling into Saudi Arabia.
• Act as the primary point of contact during the first weeks of employment.

Orientation & Induction

• Deliver engaging company orientation sessions.
• Introduce employees to SIHAMCO's culture, values and standards.
• Coordinate departmental inductions.
• Schedule mandatory compliance and safety training.
• Ensure completion of all onboarding checklists.

Accommodation & Facilities

• Manage employee accommodation allocations.
• Coordinate room assignments.
• Liaise with accommodation providers.
• Resolve accommodation-related issues.
• Monitor accommodation standards and maintenance requirements.
• Coordinate furniture, utilities and employee living requirements.
• Maintain accommodation occupancy records.

Employee Services

• Coordinate:
• ID cards
• Uniforms
• IT equipment
• Mobile phones
• Access cards
• Locker assignments
• Ensure all required resources are available before the employee's first working day.

Employee Welfare

• Support employees during relocation and settlement.
• Assist international employees with adapting to Saudi Arabia.
• Respond to employee queries regarding accommodation, transportation and company policies.
• Escalate welfare concerns where necessary.
• Build positive relationships across the workforce.

Facilities Coordination

• Liaise with Facilities regarding:
• Maintenance requests
• Cleaning
• Accommodation readiness
• Office preparation
• New employee workspace setup
• Ensure onboarding spaces and employee facilities are maintained to company standards.

HR Administration

• Maintain onboarding records within the HRIS.
• Produce onboarding reports and dashboards.
• Monitor onboarding KPIs.
• Maintain confidential employee records.
• Ensure documentation complies with company policies and labour legislation.
