Job description:
Job Purpose
To oversee the company’s vehicle fleet, ensuring compliance with policies, optimal maintenance, and alignment with operational requirements through effective interdepartmental coordination.
Key Accountability Areas
Vehicle Management:
- Ensure the proper handover and return of vehicles, ensuring accurate documentation and record-keeping.
- Administer SAP transactions related to vehicle handovers, returns, maintenance, and fuel orders, ensuring timely and accurate processing.
- Monitor fuel stock and prepare the monthly consumption report.
Communication and Coordination:
- Maintain effective communication with vehicle users, repair workshops, and suppliers through phone and email.
- Proactively follow up with vehicle users to ensure timely and routine maintenance is conducted.
- Arrange transportation services for staff and non-staff employees.
Data Management and Administration:
- Provide administrative support by collecting, entering, and maintaining vehicle-related data in SAP and Excel, including licenses, insurance, operation cards, driver licenses, and MVPI documents.
- Ensure all records are well-organized and available for audits and inspections.
Incident Management:
- Coordinate with the Insurance department and stakeholders to manage accident cases, ensuring clear communication and resolution until closure.

- Ability to acquire updated soft and technical skills related to the job.

- Perform activities to meet operational and development targets as per schedules.
- Utilize resources effectively to achieve objectives within cost and time constraints.
- Provide periodic reports detailing deviations and execution of planned tasks.

- Solve operational problems and escalate complex issues.

- Ensure quality requirements are met to develop effective quality control processes.
Business Process Improvements:
- Coordinate well-defined systems, policies, procedures, and seek automation opportunities.
Compliance:
- Adhere to policies, procedures, and work instructions.
Health, Safety, and Environment:
- Ensure safety, quality, and environmental procedures are followed to guarantee safety, legislative compliance, and high-quality service.
Academic Qualification
Diploma or Degree in Transportation, Logistics, or relevant fields.
Work Experience
Fresher to 2 years.
