  • Strong interpersonal and communication skills are required to engage affluent clients and coordinate with multiple teams.
  • Excellent organizational abilities to manage reservations, events, and guest itineraries.
  • Sales and/or event coordination experience is essential for driving bookings and guest experiences.
  • Bilingual proficiency in Arabic and English is preferred for guest interactions and reporting.
  • College/university degree is preferred for candidate suitability.

Responsibilities

The Role

The Client Relations and Experience Coordinator serves as the initial point of contact for prospective guests, managing and qualifying inquiries before handing them over to the Sales team. The coordinator then supports the guest journey by managing communication, logistics, transportation, excursions, and in-stay requirements, while working closely with Sales and Operations to ensure a seamless, personalized, and memorable guest experience.


Key Areas of Responsibilities

Client Inquiry & Qualification


  • Receive and manage initial booking inquiries for Thuwal Private Retreat, providing timely and personalized responses while gathering key information about the client’s requirements and expectations.

  • Pre-screen and qualify potential guests by understanding their preferences, purpose of stay, preferred dates, group size, budget, and experience requirements.

  • Provide prospective guests with relevant information about the retreat, accommodation, experiences, and services to support their initial inquiry and create a positive first impression.

  • Accurately capture and maintain client details and inquiry information to ensure a complete and effective handover.

  • Handover qualified inquiries and relevant client information to the Sales team for follow-up, conversion, and further reservation management.

  • Coordinate closely with the Sales team to ensure a seamless transition from initial inquiry and qualification to the sales and reservation process.


Guest Logistics & Experience Management


  • Manage and coordinate all guest-related communication and logistics throughout the guest journey, including transportation arrangements, excursions, activities, arrival, departure, and in-stay requirements.

  • Collect, maintain, and communicate comprehensive guest details, including arrival and departure information, transportation requirements, preferences, special occasions, dietary requirements, activities, and other relevant requests, while ensuring confidentiality and accuracy.

  • Coordinate airport, marina, and island transfers, ensuring seamless transportation arrangements before arrival, throughout the stay, and upon departure.

  • Personally attend to guests during arrival and departure and, when required, throughout their stay, providing a warm and personalized welcome, assisting with logistics, and ensuring that expectations are met.

  • Monitor the guest journey in real time and proactively address any changes, delays, special requests, or unexpected requirements to ensure a seamless and luxurious experience.

  • Conduct pre-arrival and in-stay follow-ups with guests to confirm arrangements, anticipate needs, and identify opportunities to enhance their experience.

  • Ensure a smooth handover of all guest information and arrangements between the sales, reservations, and operational teams from initial booking through departure and post-stay follow-up.


Experience Curation


  • Design and tailor personalized itineraries, including accommodations, activities, dining options, and special events based on individual guest needs and desires.

  • Recommend and arrange excursions, spa treatments, recreational activities, and unique experiences to enhance the stay.


Bespoke Dining Program Design


  • Create and manage tailored dining experiences for guests, incorporating their preferences and any unique requests to enhance their stay.


Special Event Coordination


  • Plan and coordinate special events on the island, including birthdays, weddings, engagements, themed dining experiences, and corporate retreats.

  • Work closely with vendors and internal teams to ensure the successful execution of events, delivering exceptional experiences to guests.


Operational Communication


  • Communicate all event details to the operations team through Banquet Event Orders and group resumes, ensuring clarity and thoroughness in all planning stages.

  • Oversee the logistics of each guest booking, ensuring all aspects are executed with high attention to detail.


Execution Oversight


  • Oversee the seamless execution of each guest booking, paying the highest attention to detail to ensure a memorable and luxurious experience.


Sales Development Tracking


  • Maintain an active log of sales development activities, tracking outreach efforts, networking events attended, follow-up communications, and potential leads.

  • Provide regular reports to management on booking trends, guest feedback, and community engagement efforts.


Feedback and Improvement


  • Gather and analyze guest feedback to continuously enhance service offerings and address any areas for improvement.

  • Implement initiatives to elevate the guest experience and maintain high satisfaction levels.


Key Qualifications

Education and Experience


  • College / University graduate preferred

  • A proactive and dynamic approach with a passion for luxury hospitality and creating memorable experiences.

  • Exceptional interpersonal and communication skills, with the ability to build and maintain relationships with affluent clientele and local partners.

  • Strong organizational skills and an ability to manage multiple projects and reservations simultaneously.

  • Problem-solving abilities to address guest concerns effectively.

  • Detail-oriented, with a strong focus on delivering outstanding service and personalized experiences.

  • Knowledge of services to provide well-informed recommendations to guests.

  • Reading, writing and oral proficiency in the required languages: Arabic and English.

  • Working knowledge of computer systems and software. Microsoft Office – Opera Sales System or similar system.

  • Excellent telephone manner and ability to communicate with customers and all levels of management.

  • Ability to work effectively under pressure and handle several projects/deadlines.

  • Sales and/or event coordination experience is needed

  • The candidate must be cooperative, able to multi-task, and a team player. A positive and professional attitude is necessary
