We are seeking a a highly organized Executive Assistant to provide comprehensive administrative and coordination support to our Shared Division, reporting directly to the Chief Administration Officer. In this role, you will serve as the primary point of contact and coordination for internal and external parties. You will play a critical role in managing executive schedules, facilitating communication, and ensuring smooth operations across all departments.
Provide comprehensive administrative support to all department heads across the organization, managing executive schedules, appointments, and travel arrangements. Prepare, edit, and coordinate correspondence, communications, presentations, and meeting agendas, ensuring timely distribution of materials. Facilitate seamless internal and external communications between departments, external stakeholders, government authorities, and vendors. Assist in the preparation of meetings, including scheduling, logistics, recording accurate minutes, and tracking action items to ensure deadlines are met. Manage and maintain official documentation and records with strict confidentiality and controlled access. Support project management activities, office management tasks, and the coordination of departmental events, workshops, and training sessions. Contribute to the development and implementation of administrative policies, processes, and standard operating procedures to improve organizational efficiency.
Bachelor's degree in Business Administration from a reputable university is required. Minimum 8 years of experience in similar administrative roles within large companies, including at least 3 years in positions of progressively increasing responsibilities. Strong organizational and time management skills for coordinating executive schedules and travel. Excellent verbal and written communication skills for preparing reports, presentations, and formal correspondence. Competence in handling office management tasks, supporting project management, and managing records. High level of integrity, professionalism, and extreme attention to detail.
