iLoF is hiring a Talent Acquisition & Operations Specialist for a hybrid role (part-time) in Portugal. You will lead full-cycle recruitment across science, engineering, regulatory and business teams, and manage operations like procurement and invoicing to help the company scale.

You will actively use AI tools to sourcing, screening, outreach, and market mapping, while collaborating with executives to define roles and interview plans.

Qualificações

We're looking for an awesome Talent Acquisition & Operations Specialist | Deep-Tech / AI @ Personalized Medicine to join our team on our journey to revolutionize personalized medicine

We're looking for a Talent Acquisition & Operations Specialist - someone who can both go find good people and keep the operational and admin side of the company running smoothly.

This is a hybrid role: part headhunter, part recruiting coordinator, part operations generalist. You'll run full-cycle recruiting for a fast-moving, multi-country, multidisciplinary team (photonics, AI/ML, regulatory, clinical, BD), while also handling general administrative tasks that keep a scaling startup functioning. Key responsabilities include:

Recruiting & sourcing

Run full-cycle recruitment for open roles across science, engineering, regulatory, clinical, and business functions.

Proactively source and headhunt passive candidates for hard-to-fill roles, rather than waiting on inbound applications.

Build and maintain talent pipelines and market maps for our priority hiring areas (photonics/optics, AI/ML, regulatory affairs, clinical operations).

Run structured, candidate-friendly interview processes in collaboration with hiring manager.

Work with the executive level and function leads to turn hiring needs into clear role scopes and interview plans.

Represent iLOF's culture and mission credibly to candidates - you'll often be their first real signal of what working here is like.

Operations

Manage procurement platforms for acquisition of lab consumables, equipment, and office/operational supplies - sourcing suppliers, comparing quotes, and placing and tracking orders.

Coordinate AI platforms responsible for invoicing and related admin: processing supplier invoices, tracking payments, and coordinating with finance/accounting on documentation.

Take ownership of general administrative tasks that keep the company running - from document management to coordinating logistics for the Portugal and UK teams.

Help set up and improve operational processes as the company scales.

Take on ad hoc operational and admin projects that come with running a scaling, multi-country deep-tech company.

Proven experience in recruiting/talent acquisition, ideally including headhunting for hard-to-source or specialist roles.

Comfortable working with AI tools day-to-day - this is mandatory. You should already use AI tools naturally in your own workflow, and specifically be comfortable applying them to hiring (sourcing, screening, outreach drafting, market mapping) to work faster and smarter, not just as a novelty.

Experience working inside a startup environment: comfortable with ambiguity, shifting priorities, and building process rather than inheriting it.

Experience or strong interest in medtech, biotech, or deep-tech hiring is a strong plus - you don't need a science background, but you should be able to hold a real conversation with a photonics engineer or a regulatory lead about what makes a candidate strong.

A genuine operator's mindset: you're as comfortable sourcing a candidate on LinkedIn as you are chasing down a supplier quote or reconciling an invoice.
