iLoF is seeking a Talent Acquisition & Operations Specialist to recruit across science, engineering, regulatory, clinical, and business roles for a fast-growing deep-tech/AI company. You will proactively source passive candidates, build talent pipelines, run structured interviews, and partner with executives to define role scopes and interview plans.

You will also handle procurement and admin tasks across Portugal and the UK, streamline operational processes, and apply AI tools to hiring

• Startup experience; comfortable with ambiguity and building processes.

Responsabilidades

• Run full-cycle recruitment for roles across science, engineering, regulatory, clinical, and business functions.
• Source passive candidates and headhunt for hard-to-fill roles.
• Build talent pipelines and market maps for priority hiring areas (photonics/optics, AI/ML, regulatory affairs, clinical operations).
• Run structured, candidate-friendly interview processes in collaboration with hiring manager.
• Collaborate with executives to turn hiring needs into clear role scopes and interview plans.
• Represent iLoF's culture and mission to candidates.
• Manage procurement platforms for lab consumables, equipment, and office/operational supplies; sourcing suppliers and tracking orders.
• Coordinate AI platforms responsible for invoicing and related admin; processing supplier invoices and payments.
• Take ownership of general administrative tasks for Portugal and UK teams; improve operational processes as the company scales.
• Take on ad hoc operational projects for a scaling, multi-country deep-tech company.

Recruiting & sourcing

• Run full-cycle recruitment for open roles across science, engineering, regulatory, clinical, and business functions.
• Proactively source and headhunt passive candidates for hard-to-fill roles, rather than waiting on inbound applications.
• Build and maintain talent pipelines and market maps for our priority hiring areas (photonics/optics, AI/ML, regulatory affairs, clinical operations).
• Run structured, candidate-friendly interview processes in collaboration with hiring manager.
• Work with the executive level and function leads to turn hiring needs into clear role scopes and interview plans.
• Represent iLOF's culture and mission credibly to candidates - you'll often be their first real signal of what working here is like.

Operations

• Manage procurement platforms for acquisition of lab consumables, equipment, and office/operational supplies - sourcing suppliers, comparing quotes, and placing and tracking orders.
• Coordinate AI platforms responsible for invoicing and related admin: processing supplier invoices, tracking payments, and coordinating with finance/accounting on documentation.
• Take ownership of general administrative tasks that keep the company running - from document management to coordinating logistics for the Portugal and UK teams.
• Help set up and improve operational processes as the company scales.
• Take on ad hoc operational and admin projects that come with running a scaling, multi-country deep-tech company.

• Proven experience in recruiting/talent acquisition, ideally including headhunting for hard-to-source or specialist roles.
• Comfortable working with AI tools day-to-day - this is mandatory.
• You should already use AI tools naturally in your own workflow, and specifically be comfortable applying them to hiring (sourcing, screening, outreach drafting, market mapping) to work faster and smarter, not just as a novelty.
• Experience working inside a startup environment: comfortable with ambiguity, shifting priorities, and building process rather than inheriting it.
• Experience or strong interest in medtech, biotech, or deep-tech hiring is a strong plus - you don't need a science background, but you should be able to hold a real conversation with a photonics engineer or a regulatory lead about what makes a candidate strong.
• A genuine operator's mindset: you're as comfortable sourcing a candidate on LinkedIn as you are chasing down a supplier quote or reconciling an invoice.
• High ownership and follow-through.
