Quality AI, based in the Lisbon area, is seeking a PMO Lead focusing on Budget & Delivery Excellence to support project operations. You will manage financials, coordinate delivery, report on KPIs and drive process improvements within a dynamic tech environment.

The role involves creating templates, workflows, and training materials, and collaborating with teams to ensure accurate budgets, billing and operational efficiency. Hybrid work with 2 days in-office in the Lisbon area.

Qualificações

• Experience in PMO or project management within IT/tech environments.
• Strong knowledge of project financials: budgets, forecasting, invoicing and reporting.
• Experience tracking KPIs and SLAs and presenting results.
• Excellent organizational, analytical and multitasking abilities.
• Experience creating processes, templates, documentation, or training materials.

Responsabilidades

• Monitor project budgets, forecasts, costs and billing activities.
• Support delivery teams with PMO processes, templates and best practices.
• Create and maintain standardized PMO templates, workflows and training materials.
• Track KPIs and SLAs; prepare regular progress reports and highlight risks.
• Coordinate between project teams, management and stakeholders for smooth delivery.

Pmo Lead: Budget & Delivery Excellence Quality AI

Are you an organized and analytical PMO professional looking for an opportunity in a dynamic technology environment? At Quality AI, we work alongside leading Big Tech organizations, supporting the delivery of innovative and high-impact solutions. We are currently looking for a PMO Officer to support our project operations, with a strong focus on financial management, delivery coordination, reporting, and process improvement. You will play a key role in helping project teams stay on track while ensuring that budgets, billing, KPIs, and operational processes are accurately managed.

What will you be responsible for?

• Project Financial Management: Monitor project budgets, forecasts, costs, and billing activities. Ensure invoices and financial information are accurate, up to date, and consistent with project forecasts.
• Delivery Support: Work closely with Team Leads and delivery teams throughout the project lifecycle, providing guidance on PMO processes, documentation, and best practices.
• PMO Processes & Documentation: Create, maintain, and implement standardized templates, workflows, guidelines, and training materials to improve project execution and consistency.
• KPIs & SLA Monitoring: Track key performance indicators and service-level agreements, preparing regular reports and highlighting potential risks or areas requiring attention.
• Stakeholder Collaboration: Act as a point of coordination between project teams, management, and other stakeholders, helping ensure smooth communication and effective project delivery.
• Continuous Improvement: Identify operational challenges and opportunities for optimization, including the use of analytics and AI-based automation to make PMO activities more efficient.

What are we looking for?

• Previous experience in PMO, Project Management, Project Coordination, or Delivery Support, preferably within an IT or technology environment.
• Good understanding of project financials, including budget tracking, forecasting, billing, invoicing, and financial reporting.
• Experience working with KPIs and SLAs, including monitoring and reporting performance.
• Strong organizational and analytical skills, with a structured approach to managing multiple priorities.
• Excellent communication and stakeholder management abilities.
• Experience creating processes, templates, documentation, or training materials.
• Confidence in supporting and coaching project or technical teams on PMO practices.

Nice to have:

• Experience with data visualization and analytics tools such as Power BI or Tableau.
• Exposure to AI-powered tools or automation and an interest in applying them to improve project management processes.
