Role Overview

As an Administrative Human Resources Officer, you will support the smooth delivery of HR Shared Services by handling a broad range of internal and external requests. You will manage essential administrative processes related to occupational health, employee benefits, professional training transitions and HR records. This opportunity is particularly suited to a recent graduate or an early-career professional with up to three years of experience who is looking to develop practical expertise within a structured and collaborative HR environment.

Key Responsibilities

You will respond promptly and professionally to requests from employees, managers and external HR partners. You will coordinate company-site registrations and deregistrations with Occupational Health Services, follow up on related invoices and contribute to mandatory annual reporting. You will also process monthly health insurance enrolments and amendments, ensuring that employee information remains accurate and that stakeholder questions are handled clearly.

You will manage administrative cases connected to the Professional Transition CPF scheme, including preparing absence authorisations, completing employer documentation and monitoring reimbursement requests. You will keep the digital organisational structure up to date in SAP OM and provide support with HR data entry and other administrative activities whenever required.

You will oversee the receipt, identification, sorting and distribution of incoming post to the appropriate HR Shared Services teams. You will monitor office-supply levels and arrange replenishment when necessary. You will also retrieve archived payslips, prepare and send the Single Staff Register upon request, and ensure that all cases are properly tracked, completed on time and handled in accordance with established procedures.

Requirements

You have a high school diploma and bring either recent graduate status or no more than three years of professional experience. You will be fluent in written and spoken French and confident using common digital tools, particularly Microsoft Word and Excel. Previous exposure to SAP will be considered an advantage.

You will be able to manage several requests at the same time, maintain accurate follow-up and meet agreed deadlines. You will communicate clearly in writing and in conversation, while adopting a helpful and service-oriented approach. Your ability to explain processes, collaborate with colleagues and build trusted relationships with different stakeholders will support your success in the role.

Excellent organisational and prioritisation skills will allow you to work efficiently while following defined processes. A dependable team spirit, a willingness to support varied administrative activities and a commitment to delivering accurate, high-quality work will also be essential.
