Job summary

Job description

Vessel Coordinator

Location: Gdansk (Offshore)

Start Date: 1st November 2026

End Date: 30th September 2027

Work Style: 12-hour days, 14 days on / 14 days off rotation

Role Objective

Coordinate offshore construction vessel operations for Service Operation Vessels and jack-up vessels supporting a major wind energy project. Maintain safe, efficient, and well-communicated marine, helicopter, personnel, and cargo activities across offshore and onshore interfaces. Ensure vessel activities comply with project procedures, operational management systems, and HSE requirements. Provide reliable daily planning, reporting, and logistics coordination while preventing conflicts between simultaneous operations.

Key Responsibilities

• Coordinate daily activities with the Marine and Helicopter Coordination Centre.
• Act as the primary operational contact between contractors, vessel crews, offshore teams, and onshore stakeholders.
• Schedule and facilitate meetings, maintaining clear communication across project interfaces.
• Support relevant vessel operations within the offshore field and coordinate Service Operation Vessel, jack-up vessel, and crew-transfer-vessel activities.
• Verify vessel activity reports and provide accurate operational input to daily planning meetings.
• Support HSE initiatives, safety walks, and the development of a strong offshore safety culture.
• Provide cover for selected Site Manager responsibilities when delegated or required.
• Identify and propose improvements to Offshore Site Management tools, processes, and procedures.

Tasks

• Plan and coordinate construction vessel, jack-up vessel, marine, and helicopter activities, including supporting documentation.
• Prepare operational lookaheads and contribute to daily execution planning.
• Liaise with packages and contractors to maintain progress and deconflict simultaneous operations.
• Coordinate crew-transfer-vessel logistics with Offshore Operations.
• Maintain daily dialogue with contractors and vessel crews to ensure compliance with site procedures and operational management systems.
• Keep vessel masters informed of relevant project activities and operational changes.
• Assist the Construction Manager with logistics and other assigned activities.
• Chair or attend contractor interface and kick-off meetings.
• Coordinate personnel procedures, crew changes, port calls, and approved manifests.
• Track and control cargo movements on and off vessels, including declarations to relevant authorities.
• Monitor vessel best practice in the operation of walk-to-work systems.
• Capture lessons learned and raise change requests supporting continuous improvement.

Deliverables

• Personnel manifests for crew changes and daily offshore operations.
• Cargo manifests and supporting declarations.
• Three-day lookahead planning information.
• Daily execution coordination plans and verified vessel activity reports.
• Safety-walk records, HSE reports, and implementation of the Safety Card system.
• Captain meeting minutes and port-call plans aligned with daily planning.

Decision Authority / Responsibility

• Coordinate day-to-day offshore vessel, aviation, logistics, and interface activities within approved project procedures.
• Escalate safety, schedule, simultaneous-operations, cargo, or compliance concerns through the appropriate project routes.
• Challenge non-compliant behaviours and reinforce accountability among offshore personnel and contractors.
• Recommend practical improvements to vessel coordination, logistics, and Offshore Site Management processes.

Requirements

• Experience in a comparable offshore wind vessel-coordination or offshore-operations role.
• Maritime or seagoing experience and vessel-management competence are preferred.
• IOSH certification is preferred.
• Valid full GWO training certification.
• Valid Polish occupational-health certification (badania medycyny pracy).
• Valid Polish health and safety training certification (BHP).
• Legal eligibility to work in Poland (UK and other non-EU candidates cannot be considered).
• English language proficiency at C1 level or above.
• Able to work offshore on a 14 days on / 14 days off rotation.
• Able to provide a compliant personal PC and/or iPhone where required and permit installation of the mandated mobile-device security software.
• Successful completion of the required background verification before onboarding.
