Job summary

The Healthy Back Institute is a remote, direct‑to‑consumer health company seeking a seasoned executive administrator to support the Business Operations Manager. This part‑time role focuses on calendars, meeting cadences, HR admin, and recurring operational tasks with a defined scope.

You will coordinate interviews, onboarding/offboarding, and maintain records while collaborating with leaders across departments.

Qualifications

• 5+ years of experience in executive administration, HR administration, coordination, or office and business operations.
• Proven end-to-end ownership of a calendar, a meeting cadence, or an administrative process.
• Strong written communication and the ability to keep multiple people and timelines organized.
• Proficiency with Google Workspace, Slack, and spreadsheets, and the ability to pick up new tools quickly.
• Reliable availability during the defined Central Time schedule.
• The ability to pass a background check.

Responsibilities

• Manage the Business Operations Manager's calendar and coordinating scheduling for leadership meetings and candidate interviews.
• Build and distribute executive meeting agendas; track action items and ensure items roll over to the next meeting.
• Maintain the company meeting cadence sheet and keep recurring meetings accurate and current.
• Schedule phone screens and interviews across candidates, hiring managers, and leadership.
• Keep the candidate pipeline organized and up to date; send confirmations, reminders, and follow-ups.
• Prepare interview logistics and materials so hiring managers walk in ready.
• Support onboarding and offboarding logistics, documents, and templates.
• Maintain employee and contractor records and tracking sheets, including contract dates and renewal reminders.
• Keep HR documentation and process docs organized and current.
• Execute a defined set of weekly and monthly tasks on schedule; provide basic admin support and expense/invoice tracking.
