Job summary

The TIENS Europe Region is seeking an experienced Logistics Coordinator to support end-to-end import/export operations and coordinate with 3PLs, freight forwarders, and internal teams. The role emphasizes compliance, documentation, and cost-efficient transportation across Europe.

Candidates should have 3–5 years in international logistics, strong knowledge of customs, Incoterms, and WMS, plus fluent Polish and good English. A dynamic, international culture and growth opportunities are offered.

Qualifications

  • Bachelor-level degree or higher in logistics, supply chain, international trade, or a related field.
  • 3-5 years hands-on import/export operations; experience with 3PL/4PL warehousing and WMS.
  • Experience with B2C deliveries, courier ops, and system/API integrations.
  • Proven track record in operations improvement and new solution implementations.
  • Strong knowledge of customs procedures, Incoterms, and international shipping.
  • Excellent negotiation, communication, and problem-solving skills.
  • Proficiency in MS Office and ERP/logistics systems.
  • Polish (fluent) and English (good); German a plus.

Responsibilities

  • Coordinate end-to-end import/export operations including customs clearance and documentation.
  • Liaise with 3PLs, freight forwarders, brokers, and transport providers to ensure timely deliveries.
  • Prepare and review import/export documentation in compliance with regulations.
  • Support freight bookings and maintain relationships with logistics providers to optimize costs.
  • Monitor shipments, manage schedules, and resolve issues to minimize delays.
  • Coordinate inbound/outbound shipments to maintain inventory accuracy and smooth warehouse operations.
  • Collaborate with Finance, Sales, CS and Operations to ensure order fulfillment.
  • Track logistics costs, duties, taxes, returns and prepare KPI reports.
  • Coordinate with regional/local teams for cross-border logistics compliance.
  • Contribute to logistics improvement projects and process optimization.
  • Maintain audit-ready records and regulatory documentation.
  • Perform other logistics coordination tasks as assigned.

Tasks
  • Support the Logistics Manager in coordinating end-to-end import and export operations, including customs clearance, shipping documentation, transport arrangements, and duties & taxes administration.
  • Coordinate daily operations with third-party warehouses, freight forwarders, customs brokers, and transportation providers to ensure timely and accurate deliveries.
  • Prepare, review, and maintain import/export documentation in compliance with international trade regulations and local legal requirements.
  • Assist in coordinating freight bookings and maintaining effective relationships with logistics service providers to support cost-effective and efficient transportation.
  • Monitor shipment status, proactively follow up on delivery schedules, and resolve logistics issues to minimize delays and operational disruptions.
  • Coordinate inbound and outbound shipments to support inventory accuracy and warehouse operations.
  • Work closely with Finance, Sales, Customer Service, and Operations teams to ensure smooth order fulfillment and timely issue resolution.
  • Support the monitoring of logistics costs, freight charges, customs duties, taxes, returns, and related expenses, and assist in preparing regular logistics reports and KPI analyses.
  • Coordinate with regional and local teams to ensure efficient cross-border logistics operations and compliance with company policies and legal requirements.
  • Support the implementation of logistics improvement projects, process optimization initiatives, and regional supply chain activities.
  • Maintain accurate logistics records and documentation to ensure audit readiness and regulatory compliance.
  • Perform other logistics and supply chain coordination tasks as assigned by the Logistics Manager.
Requirements
  • Degree in Logistics, Supply Chain Management, International Trade, or related field.
  • 3-5 years of hands-on experience in import/export operations, preferably in an international company.Experience with 3PL/4PL warehousing models and warehouse management systems (WMS).
  • Experience with B2C deliveries, courier operations, and system/API integrations.
  • Proven experience in operations and system improvement, and new solution implementation.
  • Solid knowledge of customs procedures, Incoterms, and international shipping practices.
  • Strong negotiation, communication, and problem-solving skills.
  • Proficiency in MS Office and ERP/logistics systems.
  • Fluent Polish and good command of English required; German is an advantage.
