You will handle monthly payroll calculations, statutory reporting to ZUS and Tax Office, and ensure compliance with Polish labour laws while collaborating with HR and Finance across the organization. Manage end-to-end payroll processing for employees in Poland, ensuring accuracy, timeliness, and full compliance with local regulations.
Independently calculate monthly payroll, including salaries, bonuses, overtime, sick leave, parental leave, and other employee absences.
Prepare and submit payroll-related declarations and statutory reports to relevant authorities (ZUS, Tax Office, GUS, PFRON, where applicable).
Ensure accurate calculation of personal income tax, social security contributions, and employee benefits in line with Polish legislation.
Maintain employee payroll records and ensure data accuracy within HR and payroll systems.
Process payroll changes related to hires, terminations, compensation changes, leaves, and organizational updates.
Serve as the main point of contact for employees and managers regarding payroll-related matters.
Monitor changes in Polish labor law, tax regulations, and social security requirements, ensuring payroll processes remain compliant.
Support internal and external audits by preparing payroll documentation and providing necessary explanations.
Identify opportunities for payroll process improvements and support implementation of best practices.
Collaborate closely with HR, Finance, and other internal stakeholders to ensure smooth payroll operations.
Minimum 3 years of hands‑on experience in end‑to‑end payroll processing for Poland.
Strong practical knowledge of Polish payroll regulations, labor law, social security (ZUS), personal income tax, and employee benefits administration.
Experience with independent payroll calculations and statutory reporting.
Experience in processing payroll for various types of employment contracts will be an asset.
Good understanding of payroll accounting principles and payroll reconciliation processes.
Experience working with Płatnik and payroll/HR systems; knowledge of Workday would be an advantage as
Intermediate Excel skills and good overall computer literacy.
Good command of English, enabling communication within an international organization (minimum B1 level)
Exceptional attention to detail and accuracy.
Strong organizational skills with the ability to manage payroll deadlines effectively.
Ability to work independently, take ownership of payroll processes, and solve problems proactively.
Strong communication and stakeholder management skills.
