Job summary

BYD Europe is seeking a highly organized Used Car Specialist to support the day-to-day administration and coordination of our used vehicle operations in Warsaw. You will ensure accurate documentation, vehicle compliance, cost control, vendor coordination and administrative support to maintain smooth used car performance, with a focus on quality and confidentiality.

Responsibilities include maintaining records, coordinating buy-backs and inspections, monitoring expenses, liaising with workshops

Qualifications

• Experience in used car administration, logistics or related role.
• Strong organizational and multitasking abilities with attention to detail.
• Good communication and coordination skills across stakeholders.
• Proficiency in Microsoft Excel and familiarity with used car documentation.

Responsibilities

• Maintain accurate used car records, including documents, insurance, inspections, and maintenance schedules.
• Coordinate buy-backs, repairs, inspections, and preventive maintenance with vendors and internal teams.
• Monitor expenses and assist with budget tracking and reporting.
• Ensure compliance with policies, safety regulations, and legal requirements for used car operations.
• Process purchase orders and relevant documentation; track stocking and performance.
• Support de-fleeting process; liaise with workshops and suppliers; prepare reports for management.

Job Summary

We are seeking a highly organized and detail-oriented Used Car Specialist to support the day-to-day administration and coordination of our used vehicle operations. The successful candidate will ensure efficient used car documentation, vehicle compliance, cost control, vendor coordination, and administrative support to maintain smooth used car performance.

Key Responsibilities

• Maintain accurate used cars records, including documentations, insurance, inspections, buy-back contracts, and maintenance schedules
• Coordinate vehicle buy-backs, repairs, inspections, and preventive maintenance with external vendors and internal stakeholders
• Monitor used cars-related expenses and assist with budget tracking and reporting
• Ensure compliance with company policies, safety regulations, and legal requirements related to used car operations
• Process purchase orders, and used car-related documentation
• Track vehicle stocking and operational performance
• Assist with de-fleeting process
• Liaise with external partners, workshops, and suppliers
• Prepare regular used car reports and administrative summaries for management
• Support incident, accident, and claims administration processes
  
  

Requirements

• Previous experience in used car sales and administration, logistics administration, transport coordination, or a similar administrative role
• Knowledge of vehicle valuation and used car documentation processes is preferred
• Strong organizational and multitasking skills
• Excellent attention to detail and accuracy
• Good communication and coordination abilities
• Proficiency in Microsoft Office, particularly Excel
• Experience with used car systems is an advantage
• Ability to work independently and manage priorities effectively
• Flexible, proactive, and capable of working under pressure in dynamic environments.
• High level of confidentiality, attention to detail, and commitment to quality.
