Job summary

Ultimate Jet Vacations is seeking a Project Coordinator to own the marketing team's operations. You will manage the project management system, align cross-functional teams, and ensure campaigns move from kickoff to completion with timely briefs and approvals.

The role focuses on maintaining workflows, improving processes, and leveraging AI tools to boost productivity across time zones. A fast-paced environment requires strong organization and communication.

Qualifications

1–2 years of experience in project coordination or marketing operations.
Bachelor’s degree preferred, or equivalent practical experience.
Experience using Asana or similar PM tools (Monday.com, ClickUp, Jira, Trello).
Strong written and verbal English communication.

Responsibilities

Maintain the marketing team's project management system across Asana, Notion, and other tools.
Coordinate project execution across Content, Social, Design, Email Marketing, Paid Media.
Maintain timelines, ownership, priorities, dependencies, and deliverables.
Ensure briefs, assets, approvals, and handoffs are completed on time.
Collaborate with Marketing, Design, Regional Teams, and stakeholders.
Facilitate kickoffs, status meetings, and follow-up sessions.
Improve templates, workflows, and processes; leverage AI where appropriate.
