Overview
Payroll and Benefits Specialist is responsible for delivering end-to-end HR administration, payroll processing and employee benefits management in line with company standards, internal policies and local legal requirements.
The role ensures accuracy, compliance and timeliness of HR and payroll processes across the entire employee lifecycle, while supporting employee-related matters and maintaining high-quality data in HR and payroll systems.
The position works closely with HR, Finance and external stakeholders to ensure seamless process execution, effective communication and a high standard of employee service.
Responsibilities
- Manage employee administration processes across the full employee lifecycle, including entering data new employee - especially in relation payroll-impacting settings
- Process and update changes in employee data including address changes, bank account updates, salary changes, employment condition updates, and tax/social security information adjustments,
- Review and approve HR requests related to salary changes after validation in Career Settings (CS)
- Set up and maintain employee personnel files in accordance with required structure, including proper classification of documents
- Entered employee absences, maternity, parental and unpaid leave data in the system. Ensure proper documentation flow and accurate updates impacting payroll and external reporting
- Related to employee termination verify vacation balance, review obligations, calculate final payroll components including severance payments, allowances, unused vacation compensation and other termination-related benefits. Prepare employment certificates and ensure proper delivery to employees
- Monthly Payroll Processing: Review all changes and documentation impacting payroll within the given month. Analyze reports from Career Settings (CS) including new hires, salary changes, one‑time payments and terminations. Verify absences and ensure proper inclusion in payroll. Enter payroll‑related data including benefits, social fund contributions, sport cards, car allowance, capital plans, bailiff deductions and social fund loans
- Process payroll calculations including basic salary, overtime, allowances, severance payments, deductions and other employee benefits. Review payroll accuracy
- Management of employee capital plans (PPK), including preparing participant registrations, logging into vendor systems (Nationale Nederlanden), and submitting the required documentation. Preparation and distribution of monthly statements.
- Płatnik software support: registration and deregistration of employees and contractors, preparation of monthly tax returns, PUE—registration of contracts for specific work
- Prepare and submit tax and social security documentation to external institutions, including ZUS, PFRON, tax authorities; preparing payment schedules for public-law obligations: PIT, ZUS, PPK, and PFRON
- Prepare annual tax declarations for employees and employer, PIT-11, PIT-4R, PIT-8AR, IFT (for foreign employees). Prepare annual reports for ZUS (IWA) and PFRON. Verify the accuracy of annual declarations and ensure timely submission to authorities and employees. Prepare reports for the Central Statistical Office (GUS) on a monthly, quarterly and annual basis
Qualifications
- Professional experience in payroll, HR administration, benefits administration or a similar HR operations role
- Good knowledge of Polish labor law, social security, tax regulations and payroll-related statutory obligations
- Practical understanding of payroll and employee benefits processes, including documentation, data validation and monthly payroll cycle requirements
- Good analytical skills and confidence working with reports, numbers and HR/payroll data
- Good knowledge of MS Excel and experience working with HR and/or payroll systems
- High attention to detail and ability to work accurately with sensitive employee data
- Strong organizational skills and ability to meet deadlines within a monthly payroll cycle
- Good communication skills, customer-service mindset and good command of English, both written and spoken
