Job summary

Arche Consulting in Poland is seeking a detail-oriented HR Administrator to join our operations team. You will manage employee data across HR systems, support payroll for the Spanish entity, and ensure compliance with global and local policies.

During probation you’ll receive a prepaid meal card and access to benefits, followed by private healthcare, life insurance, and a pension contribution. The role requires fluency in English and Spanish and strong data accuracy.

Qualifications

• Experience in HR Administration or HR Operations.
• Experience with HR data management systems; Oracle knowledge a plus.
• Understanding payroll processes, including Spanish payroll mechanics.

• Ability to validate data and prepare reports; high accuracy.

Responsibilities

Job description

• Maintaining and updating employee data in HR systems, including salary adjustments, training records and employee lifecycle changes.
• Ensuring the accuracy, consistency and integrity of employee data across all HR platforms.
• Managing the time and attendance system (Zucchetti) for the Italian entity, including processing employee corrections and system updates.
• Verifying time and attendance data and conducting pre-payroll checks to ensure accurate reporting.
• Providing support for payroll processes for the Spanish entity.
• Reviewing and auditing employee business expenses in Concur to ensure compliance with global and local corporate travel and expense policies.
• Managing the administrative processes related to temporary workers and cooperating with staffing agencies.
• Verifying staffing agency invoices, including checking applied rates and ensuring compliance with contractual agreements.
• Preparing and analysing HR reports, including employee absenteeism reports and key HR performance indicators (KPIs).
• Supporting HR and Sustainability teams in collecting data for CSRD (Corporate Sustainability Reporting Directive) and Pay Gap Transparency reporting.

Requirements

• Previous experience in HR Administration, Personnel Administration or HR Operations.
• Experience working with HR data management systems; knowledge of Oracle will be an advantage.
• Understanding of personnel administration and payroll processes, particularly Spanish payroll mechanisms.
• Professional working proficiency in Spanish, enabling effective communication in a business environment.
• Fluent / professional working proficiency in English.
• Ability to work with HR data, validate information and prepare reports.
• High level of accuracy, attention to detail and strong data management skills.
• Knowledge of Italian will be considered an advantage.
