Job summary

Andea is seeking an HR Administration Specialist in Kraków to own day-to-day HR operations including documentation, payroll coordination, and employee support. You will be the main contact for employees and managers, reporting to the HR lead in a small team. This hybrid role requires three days in Kraków office.

You will handle contracts, annexes, benefits coordination, and HR reporting while ensuring GDPR and Labour Code compliance. Growth within the HR team is available.

Qualifications

  • Must have degree in labor law, HR, economics or related field.
  • 2–3 years HR administration experience in Poland.
  • Strong working knowledge of the Polish Labor Code, ZUS regulations, and GDPR.
  • Advanced Excel proficiency.
  • Fluent Polish and business-level English.

Responsibilities

  • Maintain personnel files (paper and digital), track hours, holidays, and absences.
  • Prepare HR and payroll documents: contracts and annexes.
  • Coordinate employee benefits and liaise with providers.
  • Serve as first point of contact for employees and managers.
  • Collaborate with external accounting/HR provider on data transfers and reports.
  • Prepare periodic HR reports and dashboards for management.
  • Ensure compliance with Polish labour law, ZUS and GDPR.

The Role

We're looking for an HR Administration Specialist to join our Kraków-based team and take ownership of day-to-day HR operations from documentation and payroll coordination to employee support and reporting. You'll be the go-to person for both employees and managers and have a real impact on how things run.
You'll report directly to the HR lead and work as part of a small, close-knit team. This is a hybrid role with 3 days in our Kraków office.

What you'll do
  • Maintain personnel files (paper and digital), track working hours, holidays, and absences
  • Prepare HR and payroll documents: contracts, annexes, benefit-related documentation
  • Coordinate employee benefits and liaise with benefit providers
  • Serve as first point of contact for employees, handling queries, signing documents, and receiving statements
  • Collaborate with our external accounting/HR provider: data transfers, reconciliations, benefit reports
  • Support employees and managers in HR and payroll matters
  • Prepare periodic HR reports (headcount, turnover, absenteeism) and dashboards for management
  • Ensure compliance with Polish labour law, ZUS regulations, and GDPR requirements
What we're looking for

Must-haves:

  • Degree in labor law, HR, economics, or a related field
  • 2-3 years of HR administration experience in Poland
  • Strong working knowledge of the Labor Code, ZUS regulations, and GDPR
  • Advanced Excel
  • Fluent Polish and business-level English
  • Organized, discreet, and confident communicating with employees at all levels

Nice to have:

  • Experience working with an external payroll or HR provider
  • Familiarity with HR reporting and analytics
