Job summary

Agfa-Gevaert Group in Warsaw seeks a German-speaking Equipment & Service Contracts Coordination Specialist to handle orders, contracts, and cross-functional coordination within Customer Operations. The role requires German fluency and strong English, with experience in customer service and order management.

You will collaborate across sales, service, finance, logistics, and HQ, ensuring accurate data, timely communication, and process improvements in a hybrid setup.

Qualifications

• Fluent in German, with a good command of English.

• Experienced in Customer Service, Order Management, Customer Operations, or a similar customer-facing role
• An excellent communicator with strong interpersonal skills
• Comfortable working collaboratively in an international environment

• Able to prioritize effectively, manage multiple activities, and meet deadlines
• Confident using Excel and SAP - is a strong plus

Responsibilities

• Receive, process, monitor, and follow up on customer orders for consumables and equipment
• Prepare, record, process, and maintain service contract agreements and related documentation
• Coordinate order fulfillment and delivery activities, keeping customers informed throughout the process
• Manage customer inquiries related to product availability, deliveries, forecasts, invoicing, service contracts, and returns
• Monitor supply issues, coordinate internally with relevant stakeholders, and proactively communicate updates to customers
• Arrange and coordinate urgent transportation when required
• Register, investigate, and follow up on customer complaints, ensuring timely resolution and customer satisfaction
• Promote and support the use of AGFA's online ordering tools and digital customer solutions
• Collaborate closely with local teams, country organizations, headquarters, sales, service, finance, logistics, and third-party vendors
• Maintain accurate customer, contract, and order-related master data
• Provide administrative support to customer operations activities and contribute to process improvement initiatives
