Job summary

JLL in Warsaw is seeking an Analytics Project Lead to deliver data-driven insights for real estate strategy, headcount planning, and space optimization across the client's EMEA portfolio. The role requires strong analytical skills and knowledge of space supply and demand to inform planning decisions.

You will manage data collection, validation, and reporting, build occupancy metrics, and coordinate with CRE, finance, and BI teams to ensure data consistency and actionable recommendations.

Qualifications

• Advanced proficiency in Microsoft Excel, including advanced formulas, pivot tables, data modeling, and automation; familiarity with Power Query, VBA/macros, and data visualization tools is a plus
• Ability to analyse complex datasets, identify meaningful patterns and trends, and translate findings into actionable business insights with strong attention to detail in validating data accuracy
• Ability to communicate findings clearly to both technical and non-technical audiences
• Demonstrated experience with real estate reports linked to real estate strategy, ideally within corporate real estate or occupancy planning environments
• Familiarity with occupancy planning and space utilization concepts such as headcount forecasting and vacancy analysis
• Project management experience and ability to standardize processes and drive improvements
• Experience with project management and collaboration tools such as Smartsheet, SharePoint and data platforms like QuickSight is beneficial

Job Summary The Analytics Project Lead is responsible for delivering data-driven insights that support real estate strategy, headcount allocation, and space optimization decisions across the client's portfolio in the EMEA region. The role requires analytical expertise and a strong understanding of space supply and demand to inform planning processes and drive effective occupancy outcomes.

Key Responsibilities

• Data Management and Analysis Manage the collection, validation, and analysis of occupancy and headcount data to support regional planning scenarios. Ensure reporting aligns with corporate guidelines and that data outputs accurately reflect supply, demand, and capacity across the portfolio.
• Data Reporting Deliver high-quality reports providing visibility into key occupancy planning metrics, including space utilization, attendance rates, vacancy rates, headcount forecasts, and seat demand. Prepare project status reports comparing actual versus projected seat demand, and report on current supply and capacity while forecasting inventory changes as required.
• Project Lead Serve as the primary owner of the Headcount Forecast Validation process, managing end-to-end coordination and execution. Ensure the process remains transparent for all stakeholders by building trust through clear communication, standardized workflows, and accessible documentation. Act as the central point of accountability for forecast accuracy and validation methodology.
• Cross-Functional Collaboration Partner with Corporate Real Estate, Business Unit leadership, Corporate Finance, Portfolio Strategy, Transaction, the BI Team, move coordination, facility management teams, and other members of the occupancy planning team to ensure data consistency and alignment across functions.
• Strategic Planning Support Support the enforcement of space policies, standards, and procedures by providing the analytical foundation for planning decisions. Flag exceptions, highlight trends, and present data-backed recommendations to stakeholders.
• Subject Matter Expertise Development Develop subject matter expertise in the client's workplace data environment, using that knowledge to drive insights that improve planning accuracy and operational efficiency. Model a proactive, detail-oriented approach within the Occupancy Planning and account team.

• Familiarity with occupancy planning and space utilization concepts, such as headcount forecasting, desk sharing ratios, vacancy analysis, and space health metrics
• Project management experience, including the ability to standardize processes, coordinate stakeholder inputs, and drive process improvement and workflow optimization
• Strong organizational and time management skills, paired with a proactive, solution-oriented approach to problem solving
• Experience with project management and collaboration tools (e.g., Smartsheet, SharePoint) and/or data platforms such as QuickSight is beneficial
