Pillar Health Solutions is seeking an Executive Assistant & Operations Partner to build and continuously improve our operational engine. This role involves close collaboration with leadership to manage priorities, coordinate projects, and own workflows across physician partners, staff, patients, and providers.

You will investigate root causes, implement practical solutions, and measure impact while developing SOPs, dashboards, and scalable processes in a growing healthcare setting.

Qualifications

• 2+ years of experience in operations, program management and client success.
• Experience owning processes and outcomes rather than only completing administrative tasks.
• Strong understanding of patient scheduling, provider coordination, documentation, healthcare administrative workflows, and service operations.
• Ability to identify operational problems, investigate root causes, and independently implement solutions.
• Strong organizational, analytical, and problem-solving skills.
• Excellent written and spoken English.
• Strong communication skills interacting with physicians, staff, patients, and leadership.
• Experience creating or improving SOPs, workflows, dashboards, trackers, or operational systems.
• Attention to detail with patient information, billing data, and operations.
• Ability to manage multiple priorities in a fast-moving environment.
• Comfortable learning new tools and processes independently.
• Experience with AI, automation, or technology to improve processes.

Responsabilités

• Executive Support & Project Management: organize priorities, coordinate projects, deadlines, and prepare action plans.
• Turn leadership discussions into clear actions, tracking progress with stakeholders.
• Prepare meeting summaries, presentations, and reports for decision-making.
• Business Operations & Process Improvement: coordinate daily activities across practices, patients, providers, and internal teams.
• Support onboarding, scheduling, provider coordination, documentation, and admin workflows.
• Identify inefficiencies and create or improve SOPs and standardized processes.
• Reporting, Technology & AI Automation: maintain dashboards and performance reports, monitor KPIs.
• Analyze data to provide actionable insights and recommendations.
• Leverage AI and automation to streamline tasks and improve reporting.
