Job summary

Foremost is seeking an experienced Admin cum HR professional to manage day-to-day office operations in Islamabad. You will liaise with building management, handle relocations, oversight of expenses, onboarding/offboarding, payroll support, EOBI, and vendor relationships while coordinating training and events.

The role requires a Bachelor’s degree in a related field and at least 5 years of experience in office administration or HR.

Qualifications

  • Bachelor's degree in Business Administration, Human Resource Management, or related field.
  • At least 5 years in office administration or Admin cum HR role.
  • Comfortable liaising with landlords/building management, vendors and HQ/GM.
  • Experience with office relocation or lease negotiations is a plus.
  • Knowledge of EOBI and payroll-related tax matters is a plus.
  • Professional HR certification is advantageous.

Responsibilities

  • Act as main contact with building/office management and negotiate lease renewals.
  • Source and shortlist office options and prepare relocation proposals for GM.
  • Manage office expenses, petty cash, and maintain records.
  • Arrange office equipment and prep workstations for new staff.
  • Supervise office support staff and monitor attendance and discipline.
  • Ensure pantry supplies and office upkeep for safety and cleanliness.
  • Coordinate travel logistics and respond to HQ/GM requests promptly.
  • Maintain vendor relationships for supplies and services.
  • Source vendors and negotiate pricing/terms for office needs.
  • Plan monthly team gatherings and organize annual events.
  • Assist with recruitment postings, interviews, onboarding, and offboarding.
  • Coordinate employee training under new policies.
  • Communicate HQ/GM updates to staff.
  • Support payroll and EOBI submissions.
  • Maintain payroll tax awareness and general HR policies.

Job description

Key Responsibilities
  • Building / Landlord Liaison: Act as the main point of contact with building/office management for day-to-day matters, including negotiating lease renewals and rental increases.
  • Office Relocation: If the office needs to relocate, source and shortlist suitable new office options and prepare a proposal for the General Manager's (GM) review and approval.
  • Expenses & Records: Manage office expenses, petty cash, and administrative budgets, maintaining accurate bookkeeping and administrative records/documents.
  • Equipment & Onboarding Setup: Arrange office equipment and furniture, coordinating repairs/replacements as needed; prepare workstations and equipment (e.g. laptops) for new colleagues before their start date.
  • Support Staff Supervision: Supervise office support staff (e.g. office boys, drivers, security, and maintenance personnel), monitoring attendance, punctuality, and workplace discipline.
  • Pantry & Office Upkeep: Ensure pantry supplies are stocked and the office remains clean, safe, secure, and well maintained.
  • Responsiveness & Logistics: Respond promptly to requests from HQ, the GM, and colleagues; arrange transportation and travel logistics for meetings, events, and guests; and resolve office-related issues quickly.
  • Vendor Relationships: Liaise and maintain working relationships with reliable vendors for office supplies, maintenance, and services.
  • Sourcing & Negotiation: Source vendors and negotiate pricing/terms for office and event needs.
  • Monthly Gatherings: Plan and organize monthly team gatherings, including selecting restaurants/venues.
  • Annual Events: Coordinate the company's two major annual events (e.g. one around March and one around September, including the company anniversary), working with event coordinators and vendors as needed.
  • Recruitment Support: Post job openings on recruitment platforms (e.g. LinkedIn, Rozee.pk, Indeed), screen resumes, and arrange interview scheduling.
  • Onboarding & Offboarding: Assist with employee onboarding and offboarding processes.
  • Training Coordination: Coordinate training sessions for employees, particularly when the company rolls out new policies or procedures.
  • Internal Communications: Communicate new instructions, policies, or updates from HQ/GM to employees, ensuring staff stay informed.
  • Payroll Support: Support payroll management.
  • EOBI Submission: Handle EOBI (Employees' Old-Age Benefits Institution) submissions.
  • Tax Awareness: Maintain basic working knowledge of tax matters relevant to payroll and compliance.
  • General HR & Policies: Maintain employee records and attendance/leave; assist in implementing HR policies and procedures; support performance management and disciplinary matters; and handle general employee queries.
Qualifications
  • Bachelor's degree in Business Administration, Human Resource Management, or a related field.
  • At least 5 years of relevant experience in office administration or an Admin cum HR role.
  • Comfortable liaising directly with landlords/building management, vendors, and senior management (HQ/GM).
  • Experience handling office relocation or lease/rental negotiations is a plus.
  • Basic knowledge of EOBI and payroll-related tax matters is a plus.
  • Professional HR certification is an advantage.
Required Skills

  • Bookkeeping & Numeracy: Comfortable tracking expenses and petty cash accurately.
  • Event Coordination: Able to plan and run both small team gatherings and larger annual company events.
  • Discretion: Able to handle confidential and sensitive information with discretion.
  • Computer Literacy: Proficient in Microsoft Office and general administrative/HR systems.
