We are looking for a Wedding & Events Client Specialist with hospitality experience in weddings, events, and catering services to engage new leads, manage client communications, conduct inbound and outbound calls, nurture prospects through structured follow-ups, generate initial proposals, coordinate venue availability, and maintain accurate CRM records while supporting the sales process.
You will provide the best service to our partner brands by performing these tasks:
Immediately contact new online leads, primarily by phone during normal business hours, using a professional, friendly, and educated approach.
Handle inbound and outbound calls with U.S.-based prospects.
Write clear, polished, and personalised emails using provided scripts and templates while adapting messaging to keep prospects engaged.
Execute structured follow-up sequences to secure responses and move conversations forward.
Answer preliminary questions from hot or high-intent leads.
Gather key event details from prospective clients.
Generate and send initial proposals.
Obtain feedback and work toward securing client buy-in.
Check event and venue calendar availability.
Book tours and hold dates as appropriate.
Continue nurturing leads with timely and helpful responses until they are ready to transition to a salesperson.
Maintain detailed, accurate notes and activity logs within the CRM.
Document conversations, emails, activities, and next steps to provide full visibility for the sales team.
Identify when leads are sufficiently warmed and qualified for handoff to a salesperson.
Deliver quick, accurate, and professional responses that build confidence and keep prospects interested.
Maintain responsiveness while managing a high volume of leads.
Support speed-to-lead expectations through rapid follow-up and timely engagement.
Hospitality experience primarily within weddings, events, and catering services.
Experience managing a high volume of leads while maintaining responsiveness and follow-through.
Proficiency with CRM systems or the ability to learn quickly while maintaining accurate records and handoff notes.
Available during California business hours.
Excellent spoken English with a professional phone presence.
Outstanding written English.
Ability to write polished, personalised, and persuasive emails without heavy editing or AI dependence.
Confident handling inbound and outbound calls with U.S.-based prospects.
Comfortable making outbound calls and proactively engaging leads.
Ability to ask qualifying questions and keep conversations moving forward.
Strong follow-up discipline and organisational skills.
