Responsibilities

• Process warranty claims in accordance with Toyota guidelines and procedures.
• Verify completeness and accuracy of repair orders, technical reports, and supporting documents before submission.
• Monitor status of submitted claims and follow up on pending, rejected, or returned claims.
• Coordinate with Service Department to address discrepancies and ensure timely resubmission of corrected claims.
• Maintain accurate records of warranty claims, repair orders, supporting documents, and claim approvals.
• Encode and update warranty information using dealership systems and Microsoft Office applications.
• Coordinate with Service Advisors, Technicians, and other personnel to obtain necessary information for claims.
• Review repair documentation to ensure reported concerns and completed repairs are properly recorded.
• Clarify warranty requirements and documentation concerns with appropriate personnel.
• Keep updated on applicable warranty policies, procedures, and documentation standards.
• Respond to warranty inquiries via phone or email.
• Coordinate with customers and internal departments regarding warranty requirements and status.
• Communicate warranty procedures clearly and professionally.
• Provide assistance in resolving warranty-related issues to support customer satisfaction.
• Prepare periodic reports on warranty claims, approvals, rejections, and pending submissions.
• Monitor processing timelines and report discrepancies to supervisor.
• Ensure compliance with Toyota warranty policies and dealership procedures.
• Perform other warranty-related administrative tasks as assigned.
