Job summary

Teams Squared is seeking a motivated Virtual Property Management Assistant to support a Victorian residential property management team. The role requires confident phone work, strong cold calling experience, and ability to handle outbound calls, tenant and landlord communication, and portfolio administration from a remote setting.

Ideal candidates have remote real estate experience, familiarity with Victorian rental processes, and proficiency with property management software and CRM/VoIP

Qualifications

• Degree in Business, Property, Real Estate, Marketing or Commerce required.
• Proven cold calling or outbound calling experience, mandatory.
• Remote experience in real estate or property management preferred.
• Familiarity with Victorian rental processes desirable.
• Experience with property management software (PropertyMe/PropertyTree/Console Cloud/Ailo) advantageous.
• CRM and VoIP/dialler system experience advantageous.
• Excellent spoken and written English with professional phone manner.
• High attention to detail and strong time management.

Responsibilities

• Make outbound cold calls to landlords and owners to generate new leads and appointments.
• Follow up enquiries and book appointments for property managers.
• Record outcomes and maintain CRM records.
• Respond to tenant, landlord, and tradesperson enquiries by email and phone.
• Coordinate maintenance, obtain quotes, issue work orders and follow up to completion.
• Call tenants in rent arrears and prepare reminders per Victorian requirements.
• Assist with new tenancies, renewals, leases, and reference checks.
• Assist with RTBA bond lodgements, transfers and claims.
• Schedule routine inspections, entry notices, and condition reports.
• Maintain accurate tenancy, owner and property records in PM system.
• Prepare call activity and portfolio reports for property managers.

Job Description:

We are currently seeking a motivated Virtual Property Management Assistant to support a Victorian residential property management team. The ideal candidate is confident on the phone, has proven cold calling experience, and can support property managers with outbound calling, tenant and landlord communication, maintenance coordination and portfolio administration. Cold calling experience is essential. Prior remote experience in real estate or property management, and familiarity with Victorian rental processes, are strongly preferred.

Responsibilities:

• Make outbound cold calls to landlords and property owners to generate new management leads and appraisal appointments
• Follow up on enquiries, rental appraisal requests and past leads, and book appointments for property managers
• Record call outcomes and keep prospect and lead information up to date in the CRM
• Respond to tenant, landlord and tradesperson enquiries by email and phone in a professional and timely manner
• Log, track and coordinate maintenance requests, obtain quotes, issue work orders and follow up to completion
• Call and follow up tenants in rent arrears, and prepare reminders and notices in line with Victorian requirements
• Assist with new tenancies, renewals, lease documentation, rental applications and reference checks
• Assist with bond lodgements, transfers and claims through the Residential Tenancies Bond Authority (RTBA)
• Schedule routine inspections, entry notices, and ingoing and outgoing condition reports
• Maintain accurate tenancy, owner and property records in the property management system
• Prepare call activity and portfolio reports for property managers

Qualifications:

• A degree in Business, Property, Real Estate, Marketing or Commerce, or an equivalent qualification
• Proven cold calling or outbound calling experience, ideally in real estate, property or sales (mandatory)
• Prior remote experience in real estate or property management is strongly preferred
• Familiarity with the Residential Tenancies Act 1997 (Vic) and Victorian rental processes is highly desirable
• Experience with property management software such as PropertyMe, PropertyTree, Console Cloud or Ailo is advantageous
• Experience using a CRM and a VoIP or dialler system is advantageous
• Excellent spoken and written English, with a clear, confident and professional phone manner
• Resilience and persistence in handling objections and rejection
• High attention to detail with strong organisational and time management skills
• Ability to work independently in a remote environment
• Availability to work during Melbourne business hours
